About the Opportunity:
We are seeking a detail-oriented and proactive ITSM / Procurement Specialist to manage the end-to-end procurement process for software licenses, hardware equipment, IT maintenance, and cloud services. This role requires strong vendor management skills, contract and legal process knowledge, and the ability to collaborate across multiple departments to ensure cost-effective, compliant, and high-quality procurement outcomes.

Responsibilities:

• Procurement Operations
• Consolidate and execute procurement requirements for software licensing, hardware, IT maintenance, and cloud services.
• Source, evaluate, and negotiate with vendors based on project or departmental needs to ensure cost-effectiveness and quality.
• Prepare and maintain procurement documents, including RFQ/RFPs, purchase requests, and comparison sheets.
• Contract & Legal Coordination
• Assist in reviewing contract terms to ensure compliance with regulations and company policies.
• Collaborate with Legal, Finance, and other departments to complete contract signing, renewals, or amendments.
• Maintain contract records and implement expiration tracking mechanisms.
• Payment & Invoice Management
• Support the procurement payment process, including acceptance checks, invoice documentation, and approval tracking.
• Ensure payments align with contract terms and internal policies, coordinating with Finance for reconciliation.
• Budget & Cost Control
• Participate in annual IT/Infrastructure budget planning and track procurement execution progress.
• Analyze cost structures and recommend optimization or cost-saving measures.
• Provide regular procurement and maintenance cost reports to support management decision-making.
• Cross-Functional Collaboration
• Work closely with IT, Security, Finance, and Legal teams to ensure procurement needs are fully met.
• Manage vendor relationships and conduct performance evaluations to maintain strong partnerships.

Requirement:

• 3+ years of procurement or sourcing experience, preferably in IT or technology-related industries.
• Strong negotiation, vendor management, and contract review skills.
• Familiarity with IT products, cloud services, and licensing models.
• Excellent organizational skills with attention to detail.
• Strong communication and cross-functional collaboration abilities.
Nice to have:
• Experience in multi-vendor management and strategic sourcing.
• Knowledge of procurement compliance, legal processes, and cost optimization strategies.
• Ability to work in a fast-paced, project-driven environment.
