Position Summary

To provide overall administrative support and direction for the Annual Adopt A Family & Angel Tree Programs as assigned in Orange County. Oversee database management for Adopt A Family & Angel Tree Programs to ensure applications are complete and that eligible households are served during the holidays.

Specific Duties

  • Review the previous years’ program and plan adjustments that may enhance program efficiency.
  • Oversee data entry for all Adopt A Family and Angel Tree applications to ensure information is accurate and complete. Train volunteers assisting in this process.
  • Evaluate requested proofs/documentation on each application; follow up in a timely manner to households providing incomplete information or paperwork.
  • Be familiar with all County toy programs so that applicants/donors know their options.
  • Keep an accurate database of all donors and their attached families, if applicable.
  • Ensure property inventory of Angel tags and order more if necessary. Bunch Tags into groups of 50 for mailing to donors.
  • Ensure timely delivery of Adopt-a-Family gifts, ensuring every family member is accounted for and that gifts are appropriate.
  • Arrange volunteer schedule for the delivery and drop off of Angel Tree and Adopt-a-Family toys.
  • Assist at the toy warehouse or individual Corps as needed. Verify households on site on distribution day(s)
  • At the end of the season (December) ensure that all supplies are securely stored and ready for next year.
  • Participate in all post-holiday season meetings to review overall program efficiency, metrics, and processes. Provide feedback for improvement as needed.
  • Other duties as assigned.

Pay Rate

Pay: $20/hour

Working Conditions

  • Ability to walk, stand, bend, squat, climb, kneel and twist on an intermittent or sometimes continuous basis. Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead.  Ability to operate computer, fax and telephone. Ability to lift up to 25 lbs.

Minimum Qualifications

  • At least 21 years old
  • Valid California driver’s license required

Skills, Knowledge & Abilities

  • Must have outstanding data management and reporting skills.
  • Excellent knowledge of Microsoft Word, Excel, and Mail merge
  • Prior seasonal experience with The Salvation Army (volunteer or employee) preferred.
  • Bilingual/bi-literate in Spanish preferred.
  • Meet all health and safety regulations as defined by the Health Department as well as The Salvation Army.
  • Must be in good physical health and mental health, capable of meeting position demands.
  • High level of attention to detail, quality and professionalism skills
  • Current driver’s license and clean MVR record
  • If working in vicinity of children a criminal background check is required with certification for Protect the Mission policies and procedures
  • Must be trustworthy and honest.
  • Must have ability to work with, direct, and relate well with co-workers, community members, volunteers, and guests/clients.
  • Able to function in a fast-paced, frequently changing environment.
  • Must possess good Guest Relations skills.
  • Due to the nature of dealing with client information, must be able to maintain confidentiality.
  • Ability to work flexible hours including some weekends and evenings.
