Reporting to the Undergraduate Programs Lead, the incumbent plays a vital role in supporting and enhancing the academic journey of our art and design students. This position is essential to maintaining the excellence of ADM's undergraduate programs through effective administration of admissions, course registration, and assessment processes. Working closely with program leadership, the role ensures seamless delivery of academic operations while maintaining high standards of service that contribute to our students' educational success and development as creative professionals.

The role holder provides crucial administrative support that enables ADM to fulfill its mission of delivering high-quality education in art, design, and media, while ensuring students receive comprehensive support throughout their academic journey. Through meticulous attention to academic processes and student needs, this position helps create an environment where students can focus on their creative and academic growth.

The key responsibilities of the role are as follows:

  • Manage comprehensive admissions processes including candidate evaluation coordination and scholarship interview arrangements for 700-800 applications annually
  • Oversee course registration and academic progress tracking for all undergraduate students
  • Coordinate assessment management processes including grade submission and reviews
  • Handle student administrative matters including leave applications and program-related queries
  • Maintain and update curriculum information across various platforms
  • Process and analyse academic data for reporting and decision-making
  • Provide administrative support for faculty and students
  • Coordinate with various stakeholders to ensure smooth program operations

Requirements:

  • A diploma or bachelor's degree with at least 2 years of relevant administrative experience, preferably in higher education
  • Advanced proficiency in Microsoft Office applications, particularly MS Word and Excel
  • Exceptional organizational skills with demonstrated ability to manage multiple tasks and meet deadlines efficiently
  • Strong written and verbal communication skills for professional interaction with students, faculty, staff, and parents
  • Approachable demeanour with proven ability to work effectively in team-oriented settings
  • Meticulous attention to detail in handling administrative tasks and data management
  • Adaptability to dynamic environments with ability to manage unforeseen situations effectively
  • Strong commitment to maintaining confidentiality and integrity in all dealings
  • Ability to work both independently and collaboratively within a team
  • Experience in academic administration or student services is an advantage
  • Strong problem-solving skills and proactive approach to work
