We have an exciting opportunity for you to join our team as Onboarding Manager. Reporting to the Heads of Fund Onboarding, this full-time and permanent position is based in Johor Bahru, Malaysia and offers regional coverage, allowing you to make a significant impact to our team and its’ growth.
The Onboarding Manager will be responsible for managing and coordinating the client onboarding process. This role ensures a seamless and compliant client experience while working closely with internal stakeholders and clients. The ideal candidate will drive efficiency, risk mitigation, and identify and support process enhancements to optimize the client onboarding journey.
Key Responsibilities:
Client Onboarding And Due Diligence:
- Plan, manage and oversee the end-to-end onboarding process, ensuring timely and efficient client activation.
- Act as the primary Onboarding contact for new clients, working with the commercial and service delivery teams to ensure a seamless transition into Vistra.
- Collaborate with internal teams (commercial, KYC teams, Compliance, Service Delivery) to agree plans and ensure all onboarding requirements are achieved in a timely manner.
- Act as the point of escalation for any KYC processing issues or queries from the KYC teams.
- Perform collection of documents and information from business and/or clients for purposes of onboarding process as per the approved list of documents requirements.
- Checks for completeness of documents submitted by clients, track work status and follow-up on any delays and deficiency to ensure service delivery requirements are met.
Process Governance & Optimization
- Maintain data to support management oversight (local, regional and global) of process effectiveness and enable processing risks to be identified and managed quickly.
- Leverage technology, automation, and data analytics to improve client lifecycle management.
- Look for opportunities to add value and reduce the costs of processing.
- Ensure proper system maintenance and updates of KYC records and documentation.
Operational Excellence:
- Ensure compliance with all relevant local and international regulations, including AML/KYC, ACRA, FATCA, CRS, and other local obligations.
- Identify, assess, and mitigate risks associated with the onboarding process for individual clients, and across the process as a whole.
- Partner with compliance teams to manage regulatory changes impacting the onboarding activities.
- Leverage technology and automation tools to improve onboarding workflows and reduce manual effort.
- Ensure adherence to standards and procedure.
Supporting Business Development And Growth:
- Support business development efforts by providing onboarding expertise in client pitches and proposals.
- Work with the business teams on pipelines and business development targets to ensure effective capacity management for onboarding and KYC activities escalating any capacity concerns at earliest point.
- Support with uploading and maintaining opportunities on VForce.
- Perform any other ad-hoc tasks and project work as assigned.
Attributes/Technical Skills
- In-depth knowledge of AML/KYC regulatory requirements, and industry standards.
- Excellent interpersonal and stakeholder management skills to engage with clients and internal teams effectively.
- Ability to assess risks, identify inefficiencies, and implement process improvements.
- Excellent communication, negotiation, and relationship-building skills with a client-centric approach.
- Excellent time management, good organisation skills and multi-tasking skills.
- Ability to work independently with minimal supervision, and to excel under pressure for meeting any tight deadlines.
- Proficiency in Microsoft Office Suite and technology-enabled worklows and solutions.
Relevant Experience
- 5+ years of experience in client services, onboarding and KYC, or client lifecycle management.
- Familiarity with financial regulations (MAS, AML/CFT, CDSA, ACRA, etc.).
- Experience managing KYC processes, systems and other relevant onboarding management tools would be an advantage.
Education and Professional Qualification
- Bachelor’s degree in Finance, Business Administration, or a related field.
- CAMS Certification or other Compliance certification would be an advantage
