Job Description:

Summary:

The Assistant Director of Housing Assignments supports the administration of housing assignments through both the supervision of the Assignments Specialist position(s) and the management of their processing of applications, assignments, billing, and adjustments for university housing. Advises on housing policies, procedures, and data collection, including oversight of larger auditing and billing standards. Collaborates with appropriate staff regarding university housing procedures and to resolve issues. Plays an active role in problem resolution, customer service, tracking of issues, and helps students and staff. Maintains standards of communication and service during all incoming and returning student housing assignment process and strategizes practical development of processes with Assignments Specialist staff.

Essential Functions:

  • Oversees the housing application process for all incoming and returning student housing. Develops successful process for Housing Assignment Specialist(s) to communicate new housing assignments. Manages and supports student housing assignment and selection processes for fall, spring, winter break, and summer terms, including but not limited to, returning student room selection, new student room assignments, room change process, etc.
  • Serves as primary point of contact for university partners who require additional housing or housing assignment consideration for a particular student community or group. Strategizes successful semesterly operation that supports additional housing requirements and considerations for those groups during room assignment periods. Manages specifically required individual assignments and planning during periods of room selection (semesterly accommodation requests from the Academic Support and Access Center), as well as periods of altered student billing (summer billing with the University Conference & Guest Services Department) through the supervision of the Assignment Specialist(s). Advises and assists campus partners as their processes (Access, OneCard, ResLife) connect to residential housing.
  • Oversees successful housing bills and posting to student accounts, serving as primary auditor and authority on semesterly charges and adjustments. Verifies and assists in the completion of billing information to appropriate individuals. Completes monthly audits comparing housing assignments to billing rates and to charges on student accounts.
  • Serves as secondary layer in responding to residents, students, parents, and incoming students regarding housing and billing concerns. Coordinates assignments process to align with larger housing process developments, including changes to move-in, check-out, room change, and larger communication processes, annually. Works independently to resolve a wide range of student/parent concerns and coordinates with housing Associate and Director-level to adjust and maintain standards. Coordinates with other offices as necessary to resolve problems.
  • Maintains frontline communication standards through the supervision of the Assignments Specialist(s) as they coordinate the front desk Office Assistant(s) and Head Office Assistant student staff. Develops annual strategy for frontline communication in partnership with Associate Director of Housing Assignments and Communications and the Marketing Communications Coordinator.
  • Other Duties as Assigned.

Supervisory Responsibility:

  • Supervision of up to two (2) Assignments Specialists, with oversight of the student staff positions (Office Assistants and Head Office Assistant) that they supervise.

Position Type/Expected Hours Of Work:

  • Full-Time.

  • 35 hours per week.
  • Potential for additional hours during peak periods of operation (housing application, room selection, and move-in/-out).

Salary Range:

  • $56,000 - $61,000 annually.

Required Education And Experience:

  • Bachelor's degree or equivalent.
  • 2 - 4 years of relevant experience.
  • Computer experience with Microsoft office suite and use of a housing management software or related database experience.
  • Experience in an office environment with customer service, data processing.
  • Experience responsibly managing large data sets and billing processes.

Preferred Education And Experience:

  • Master's degree or equivalent.
  • 3 - 5 years of relevant experience.
  • Supervision of data analytics or systems management team.
  • Experience auditing billing or developing larger business process within a Housing and Residence Life unit.
