The Product Design Coordinator supports the Hardlines Product Design team by managing the product approval process, coordinating project timelines, and facilitating communication across internal and external partners. This role ensures smooth workflow through scheduling, tracking deadlines, and providing administrative support.
This position is an onsite, 12-month temporary assignment or project hire located at our Celebration, FL office, with no guarantee of placement.
Responsibilities/You Will:
- Oversee Online Product Approval (OPA) and Product Lifecycle Management (PLM) system submissions, ensuring timely routing and processing.
- Support licensees with OPA processes and maintain inboxes, including awareness of relevant contracts and amendments.
- Manage digital assets and BOX folders, including asset requests and updates to vendors and licensees.
- Collaborate with internal teams (Product Design, Creative, Brand Franchise, Licensing, Legal, Marketing, Sales, D&I, Cultural Consultants) and external partners (Studios, Disney Channel, Games, Publishing, WDI, Licensees, DTR Partners) to secure approvals.
- Receive and log product samples, manage outgoing shipments, and maintain mailing lists and tracking.
- Document key stakeholder meetings and maintain sample storage.
- Process shipping and general invoices.
- Schedule virtual and in-person meetings, including logistics for large-scale events.
- Create and maintain documents such as tracking forms, shipping logs, and organizational lists.
- Coordinate merchandising requests from internal teams and licensee partners.
- Provide general administrative support to the Product Design team.
Qualifications/You Will:
- Strong organizational and calendar management skills.
- Ability to compile and communicate creative feedback effectively.
- Proactive problem-solving and responsiveness to team and partner needs.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and Google Workspace.
Preferred Qualifications:
- Experience with OPA and PLM systems.
- Familiarity with the toy industry.
- Working knowledge of Adobe Creative Suite (Photoshop, Illustrator, Acrobat).
Preferred Education:
- Bachelor’s degree or equivalent experience.
