This position is responsible for overseeing daily operations of the organization’s travel and expense program. This role ensures compliance with travel policies, promotes cost-efficiency, provides support to travelers, and manages vendor relationships related to travel services and expense management tools. The specialist serves as the subject matter expert for travel and expense policies and systems, including responsibilities for training, troubleshooting, reporting, and contributing to policy development.

Qualifications:

  • Minimum of one (1) of the following required:
  • Minimum one (1) year of travel and expense coordination experience required.
  • Travel and expense management software experience preferred.
  • Promotes excellence through setting high standards and providing high quality outcomes.
  • Ability to act with integrity, kindness, and exhibit empathy.
  • Possess and maintain computer skills to include working knowledge of Microsoft Office Suite and ability to learn other software as needed.
  • Excellent organizational skills, detail-oriented, a self-starter, possess critical thinking skills and be able to set priorities and function as part of a team as well as independently.
  • Commitment to working in a team environment and maintaining confidentiality as needed.
  • Excellent verbal and written communication skills including the ability to communicate effectively with various audiences.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Minimum of two (2) years’ experience in a healthcare environment working with complex administrative support tasks.
  • Minimum of three (3) years’ experience in administrative role.
  • Minimum of three (3) years’ experience in customer experience, employee experience, or human resource experience role

Job Specific Duties:

  • Oversees and coordinates travel arrangements for the organization, including but not limited to employees, physicians, recruitment candidates, consultants, the administrative team and the Logan Health Board of Trustees, while managing related correspondence associated with processing travel itineraries and reconciliations.
  • Books and manages travel for healthcare professionals, including flights, hotels, ground transportation, and car rentals.
  • Handles itinerary changes, cancellations, and emergency travel adjustments promptly and efficiently.
  • Negotiates rates and coordinates direct billing with hotels and car rental agencies, obtaining the lowest available rates locally and nationally.  Utilizes all available resources to secure cost-effective travel arrangements that meet both traveler and organizational needs.
  • Oversees and continuously evaluates the travel and expense process to ensure it remains efficient and streamlined across the organization.
  • Coordinates with internal and external stakeholders to resolve issues related to travel arrangements or expense reimbursements.
  • Serves as project coordinator and administrator for the corporate travel and expense system. 
  • Processes and audits expense reports, including prepayments and reimbursements.
  • Validates receipts and supporting documentation; ensures accurate general ledger coding in alignment with organization standards.
