Regional Facilities Coordinator – FCDO 

Job Summary:
The Regional Facilities Coordinator will manage regional operational activities, including accounting and finance, vendor management, work order administration, and helpdesk services. This role serves as the primary local contact for clients, collaborating closely to understand their needs and proactively adjusting services to meet evolving demands.

Key Responsibilities:

Operations Management

  • Support Regional and Country Facilities Managers with daily operational tasks.
  • Coordinate and oversee day-to-day facilities management activities for assigned posts.
  • Achieve key performance indicators (KPIs) and service level agreement (SLA) targets.
  • Assist in preparing regular reporting packages.
  • Manage and oversee the Workorder Management process.
  • Assist in the implementation and management of property risk management program.

Work Order Management

  • Ensure timely completion of work orders in the Corrigo system.
  • Manage the work order management process effectively.
  • Prepare and submit proposals for client approval in the system.
  • Facilitate regular discussions with team members regarding work order status to enhance KPI outcomes.
  • Provide management with regular reports on the progress of work orders.
  • Implement corrective actions on schedules within Corrigo.

Vendor Management

  • Cultivate strong vendor relationships, including obtaining quotes and ensuring compliance with service level agreements.
  • Obtain and evaluate quotes from multiple vendors to ensure competitive pricing and high-quality service.
  • Conduct regular meetings with vendors to review contract compliance, service delivery, and ongoing project updates.
  • Collaborate with vendors to resolve operational challenges and optimize service delivery.
  • Regular meeting with vendors to make sure the right quotes are uploaded to the system

Client Management

  • Weekly discussion with client to make sure the submitted proposals are met the expectations
  • Engage in weekly discussions with clients to ensure that submitted proposals align with their expectations and requirements.
  • Provide timely updates to clients on the status of work orders, and service requests.
  • Actively solicit client feedback to identify areas for improvement and enhance service delivery.
  • Address client inquiries and concerns promptly, ensuring a high level of customer satisfaction.
  • Develop and maintain strong client relationships, acting as a trusted advisor on facilities management solutions.
  • Collaborate with internal teams to ensure that client needs are met and services are adjusted as necessary to accommodate changes in demand.

In special cases, it may be necessary to perform other tasks than those described above as per the request of the direct supervisor. These cases need to be discussed in detail preliminary.
