Job Summary

This position is a training ground to have the Contract Coordinator become very familiar with all aspects of the Vertiv sales organization, internal and external. The coordinator must maintain a balance between Vertiv Corporate Policy/procedures and the customer needs. This includes providing an exceptional level of customer service to all Sales Representatives, (internal and external).  Customer service is defined as responding to customers, Vertiv field and Vertiv contract inquiries.  

The coordinator will review Purchase Orders and will decide if these need stamping. They will also be responsible for releasing orders on contract hold so orders could be built and shipped on time. 

OKR 1: Functional Expertise

  • Independently negotiates and redlines objectionable terms with customers, ensuring alignment with company Terms and Conditions before escalating to Legal.
  • Serves as point-of-contact between customer, Legal, and Order Management for escalated contract negotiations.
  • Develops and monitors reporting metrics for contract cycle time and PO compliance; recommends process optimizations to leadership.
  • Ensures timely release of orders and drives adherence to month-end and quarter-end closing timelines.
  • Oversees escalation management, ensuring issues are resolved with minimal business impact.
  • Maintains accurate, detailed contract databases and trackers

OKR 2: Customer Commitment - Value-adding activities to provide insightful interface, improved relationships and committed partnership with and for the customers.  Successful delivery of this KRA is determined from the perspective of the customer in relation to business results.

  • Anticipates and identifies customer needs, engaging in proactive communication to resolve contract-related issues before escalation.
  • Ensures consistent on-time completion of workload, prioritizing high-value/complex contracts.
  • Ensures customer support coverage by mentoring peers in Order Entry and Management and coordinating shift/workload distribution with Contracts Administrators in the US.

OKR 3: Internal Communication - Effective use of communication and information sharing using the appropriate channels/medium.  Provides activities that allow exchange and relay of opinions and insights necessary in the conduct of business.

  • Independently manages projects and workload, aligning deliverables with team and business goals.
  • Leads team meetings, training sessions, and knowledge-sharing cascades.

OKR 4: Continuous Improvement - An ongoing effort to improve products, services, or processes, and the integration of these improvements to standard processes and protocols -- can be applied in a micro (Individual improvement) or macro (organization-wide) level.

  • Identifies systemic contract risks and recommends mitigation strategies to leadership.
  • Owns and executes personal development plan with focus on contract negotiation, compliance, and leadership skills.
  • Leads initiatives to improve contract management efficiency and customer satisfaction.
  • Maintains and updates contract playbooks and process documentation.
  • Leads knowledge-sharing sessions on best practices and compliance updates.

OKR 5: Team Support and Development - Individual contribution to further team effectiveness and development towards better efficiency, productivity, support quality and quality of work life.

  • Coaches and mentors’ junior coordinators on PO/contract review and compliance.
  • Actively participates in team activities and initiatives.
  • Fulfils other reasonable duties and projects as required.
  • Serves as back-up for next level similar or related function for business continuity.
  • Provides work direction and guidance to junior employees when needed.
  • Participate in at least 1 company/platform/business unit project/initiative.
  • Coordinates and networks with other members of the team to complete assigned projects and programs.
  • Participates in cross-business unit committees as a contributor. Participates in different activities initiated by the Business Unit and Team to promote work life balance and effective team.

Qualifications:

  • Bachelor’s degree in business administration, Law, Management, Finance, or a related field
  • Proven experience (typically 2-3 years) in contracts management, procurement, legal administration, or contract negotiation.
  • Experience working with vendors, suppliers, or clients in contract negotiations and compliance.
  • 1-2 years of work experience in related field
