Organizational Setting and Reporting Relationship
The position of Legal Operations Assistant (Human Resources) is assigned to the Office of the Director General (BPOD) Legal Team within the Budget, People, and Management Systems Department (BPMSD). You will be based at our Headquarters in Manila, Philippines.

You will report to designated Technical International Staff and Officer (as applicable).

Your Role
As Senior Legal Operations Assistant (Human Resources), you will provide technical and operational support to the BPOD Legal Team that is in charge of ADB's employee relations, including performance management, grievances, and disciplinary actions.

You will:

  • Assist in preparing case materials, monitoring the Legal team's inbox, and liaising with stakeholders throughout ADB.
  • Undertake research and gathering of historical/background information.
  • Arrange and coordinate meetings, including preparation and distribution of relevant materials.
  • Apply latest office technology and taxonomies to organize and maintain the team's record management.
  • Assist in organizing and maintaining document filing systems, including the Administrative Order SharePoint, sensitive and confidential employee relations case files, and the Legal Team's SharePoint sites ensuring accurate and complete documentation
  • Ensure confidential handling of these records and documents.
  • Maintain, update, and submit regular reports on the Legal Team's activities, including list of cases and priorities.
  • Assist in collecting, organizing and analyzing data, ensuring accuracy of legal reports as tools to monitor and report on employee relations, performance, grievance, or disciplinary cases.
  • Assist in contract administration in the ADB's Consultant Management System, involving a full cycle of engagement of consultant recruitment, contract variation, extension, or termination of contracts.
  • Assist in general administrative responsibilities of BPOD Legal Team.
  • Perform other responsibilities as may be assigned and reflected in the workplan.
 

Qualifications

 

You Will Need:

  • Bachelor's degree in Human Resources, Law, Public or Business Administration and Management or Information Technology.
  • At least 5 years of relevant professional experience in employee relations, legal, administration or human resource management.
  • Excellent written and verbal communication skills in English.
  • Proficiency and excellent agility of relevant and latest digital tools relevant to the responsibilities.
  • Proven ability to build and sustain effective work relationships within teams and with stakeholders including the departmental management team.
  • Demonstrated good analytical and problem-solving skills with attention to details.
  • Proven ability to set priorities and coordinate usually under tight timeframes.
  • Ability to handle confidential and sensitive information.

Additional Information
This appointment is open to internal and external applicants.

This is a fixed-term appointment for an initial fixed period of 3 years. At the end of the initial period, this appointment may, at the option of ADB, be extended once for up to 2 years, converted to a regular appointment, or ended on its expiration date. This decision will be made in the overall interest of ADB that: (a) it will require Staff's particular blend of skills and experience in the foreseeable future; and (b) Staff's performance is satisfactory and they are suitable for further employment.
