- Role Title: Executive Assistant to Senior Vice Presidents

Summary Of The Role:
As an Executive Assistant to SVPs at EXL, you will provide comprehensive and high-level administrative support, including calendar management, travel coordination, and expense reporting. You will act as a trusted point of contact for internal and external stakeholders, handling sensitive and confidential information with absolute discretion.
Your role will be critical in ensuring smooth day-to-day operations and enabling the SVPs to focus on their strategic responsibilities. The position requires strong organisational skills, attention to detail, sound judgment, and the ability to work independently in a fast-paced, global environment.
The role includes both UK and US stakeholder responsibilities, with working hours aligned accordingly: 12:00 to 20:00 UK time to support US operations, and on occasions when stakeholders are in the UK, reverting to 09:00 to 17:00 where required. Prior experience working closely with US-based stakeholders is essential.
As part of your duties, you will be responsible for:
Executive Support
- Provide direct support to SVPs, managing diaries, travel, expenses, and correspondence at an executive level.
- Deliver sophisticated calendar management, handling competing priorities, resolving scheduling conflicts, and making proactive recommendations to ensure smooth operations.
- Prepare, compile, and distribute presentation materials; draft agendas; and record meeting minutes.
- Compose and prepare correspondence, reports, and documents, often requiring discretion and independent judgment.
- Anticipate needs and ensure the SVPs are well-prepared for meetings, events, and commitments.
Client & Stakeholder Engagement
- Act as the primary contact for internal and external stakeholders, including clients, ensuring a high level of professionalism in all interactions.
- Support client dinners and in-house client meetings, coordinating catering, room bookings, building and Wi-Fi access, and reception liaison.
- Ensure a welcoming and professional environment for all visitors and guests.
- Support client and staff gifting, including vendor recommendations, procurement, and delivery.
Travel & Events Management
- Organise complex local and international travel itineraries, including accommodations, transfers, and visas where required.
- Coordinate team support logistics such as group hotel bookings for events, RFP presentations, or workshops.
- Plan and manage events and hospitality, including client roundtables, executive team sessions, and leadership offsites.
- Partner with Marketing and other teams to support the smooth execution of corporate events when required.
Operational & Administrative Leadership
- Provide back-up support to fellow Executive Assistants to cover holidays and sickness.
- Manage expense reporting, raise purchase orders, and maintain financial records related to executive activities.
- Maintain and update contact lists, ensuring seamless communication with stakeholders.
- Act as a “gatekeeper” and “gateway” to streamline information flow and protect executive time.
- Maintain open communication with colleagues across the organisation to ensure alignment.
Qualifications and experience we consider to be essential for the role:
- Extensive executive support experience, ideally including C-level executives.
- Proven experience supporting US-based stakeholders and working across multiple time zones.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to manage high volumes of tasks and projects independently.
- Strong written and verbal communication skills, with excellent attention to detail.
- Proven ability to handle confidential and sensitive information with discretion.
- Ability to prioritise effectively, make sound judgments, and react quickly to urgent situations.
