Job Summary/Basic Function:

The College Events Department is in search of a Budget & Events Coordinator who will oversee administrative tasks and projects. This includes managing the department's extensive inventory of event props and supplies, as well as handling budget functions.

Characteristic Duties and Responsibilities:

  • Manage contract & operations with an off-site storage facility (used exclusively for Convocation).
  • Manage three on-site storage facilities.
  • Supervise two student workers.
  • Order and maintain all events & office props and supplies including printers and tech equipment.

Manage the College Events budget including:

  • Reconcile two department P-cards.
  • Manage team expenses in Chrome River.
  • Pay all College Events vendor invoices or transfer them to the correct department using UniMarket.
  • Exporting contracts through the Legal Counsel & Purchasing process.
  • Reconcile all internal charges from AVI, Business Services, Media Services, and Public Safety.
  • Create and track individual budgets for all events College Events is working on.

In collaboration with the Director of College Events manage the following event functions:

  • Book all space for all events College Events is working on.
  • Manage supplies needed for all events including Convocation.
  • Set up event registrations and run corresponding reports daily.
  • Develop and manage College Events digital asset management system that ensures clients receive items on time and they are returned on time.

Minimum Qualifications:

  • 1-3 years working in a similar role in an academic environment, in a logistics role, or the banquet event office of a hotel working directly with service providers and clients.
  • Highly detail-oriented.
  • Superior Excel skills.
  • Social media skills are helpful.

Preferred Qualifications:

  • Experience with billing clients and reconciling payments.
  • Experience supporting mass-market events.

Salary Range:

$33.52 - $42.31

Employees are expected to live within a 150-mile radius of the College.
