Eliot's Community Service Agency (CSA) programming serves children and youth (through age 21) and their families who are in need of support in managing and coordinating mental, behavioral and human services. 

The ideal candidate for the Administrative Assistant position is highly organized, detail-oriented, and able to manage a variety of administrative tasks in a fast-paced environment. They demonstrate excellent communication and interpersonal skills, are proficient with electronic medical records, and can work both independently and collaboratively. They ensure smooth daily operations while maintaining confidentiality and providing professional support to clients, families, and staff.

Responsibilities:

  • Manage the phone system: answer promptly, route calls/messages accurately, and document call outcomes as needed.
  • Greet clients, families, and visitors; manage sign-in procedures, verify identification as required, maintain a welcoming waiting area.
  • Handle all incoming/outgoing mail and deliveries; perform faxing, scanning, photocopying, and secure electronic document transmission; maintain organized, up to date filing systems.
  • Track office and program supply inventory; place orders, reconcile packing slips/invoices, and monitor spending. 
  • Schedule client and family assessment appointments; coordinate interpreter services and special accommodations; send reminders to reduce no-shows.
  • Build and maintain clinician schedules, manage blocks, waitlists, cancellations, and overbooks per program guidelines.
  • Conduct intake coordination: collect demographics, guardianship and consent information, obtain signed releases of information, and enter complete data into the EMR.
  • Verify insurance eligibility and benefits; support authorization/referral processes, and inform families of copays or required documentation.

Qualifications:

  • High School diploma with demonstrated administrative and reception experience.
  • Familiarity with electronic medical records. 
  • Strong interpersonal, communication and organizational skills. 
  • Must have a valid driver’s license and reliable transportation.

Schedule: Monday-Friday, 9am-5pm

Hourly Rate$20.18$20.18 USD
