Position Details
This role is responsible for the fundamental management of the office environment and all its facilities as well as supporting the businesses senior leaders with daily and varied tasks as required. You will be required to collaborate and take direction from the General Manager Operations daily to determine priorities whilst taking the lead initiative to ensure that the businesses head office is always welcoming, comfortable and inspires innovation and a strong work ethic.
Office Management
- Daily management of office tasks as required.
- Act as central contact for all satellite offices, providing consistent communication and support and monitoring of resourcing needs across those sites.
- Facilities management including supplier relationship management and standards (cleaners, kitchen facilities, bathrooms, meeting rooms, general equipment, security etc.).
- Maintaining a smooth running and efficient office, whilst ensuring all employees have a comfortable and innovative work environment.
- Manage and be responsible for all aspects of office OH&S, thus ensuring that the workplace meets our high Workplace Health and Safety standards as documented within our policies.
- Managing basic onboarding IT requests such as laptop setup (in conjunction with our external IT support).
- Asset register management, including IT equipment and building security access rights.
• Merchandise Procurement
- Logistical management of onsite events, meetings, team meetings, workshops etc as required.
- Lead organizer regarding planning and execution of employee related events such as Christmas Parties, EOFY parties, etc.
- Visitors meet and greet – delivering an exceptional first impression to all visitors to the office.
- Office-related communication management.
- Administration support as required
- Assist leadership with scheduling and diary management
- Other tasks as required
P&C Support:
- Assist to maintain HR systems and records.
- Support compliance tracking and employee engagement initiatives.
- Help coordinate training sessions, wellbeing programs and staff recognition events.
- Assisting the P & C Team with tasks related to onboarding and offboarding of new staff including the preparation of welcome packs.
- Support the People & Culture team with recruitment administration, job ads, phone screening, interview scheduling and reference checks.
- Provide support during audits and their preparation
- Be an active member of group initiatives.
Position Complexities
The role requires a flexible approach, being comfortable working either as part of a team or independently as required in an office environment. There is a need to adapt quickly to a variety of client environments with the capacity to interact effectively with a range of internal and external stakeholders.
Working Hours
Monday to Friday, between the hours of 8:30am and 5pm.
