We are looking for a Project Administrator to join our growing PMO group. Success in the role requires effective co-ordination of project administration tasks in conjunction with Project Managers, fellow Project Administrators and colleagues from across the business.

The role will involve providing administrative support to a variety of projects. The responsibilities within the project may include:

Supporting the project manager with the following:

  • project start-up, close down and archiving
  • on-boarding of new project team members
  • tracking project costs, forecasting, reporting and associated administration

Supporting project teams with the following:

  • coordinating and recording the output of meetings
  • booking travel
  • project book administration
  • data input
  • document formatting, control and filing
  • change control tasks
  • procurement for project team members and materials control

Requirements

Essential:

  • Good level of academic achievement to A’ Level or equivalent
  • Good level of administrative skills
  • Strong written and verbal communication skills
  • Experience of working in a fast-paced company requiring diligence and accuracy
  • Excellent organisational skills and attention to detail
  • Someone who uses their initiative, is proactive, and takes responsibility
  • Able to work effectively in close collaboration with other project administrators and members of project teams
  • Highly experienced user of Microsoft Outlook and Microsoft Office, specifically, Word, Excel (including basic formulae) and PowerPoint
  • Experienced in using SharePoint
  • Numerate and familiar with basic financial documentation e.g. purchase orders, invoicing
  • Ability to liaise with clients and suppliers

Desirable:

  • Project administration in a consulting or services environment
  • Experience coordinating and booking travel arrangements
  • Experience in an environment with a Quality Management System
  • Ability to manage complex document flows
  • Ability to work on a number of different projects or tasks at any one time, manage own time effectively and manage conflicting priorities
  • Capable of supporting planning and costing activity and monitoring project budgets and activities against project plan
  • Experience in using advanced planning, visualisation and presentation tools, e.g. MS Project, Smartsheet

  • Collaborates effectively and is a good team player, keen to work as part of a project administration team to provide a seamless service
