Job Profile Description
MAIN PURPOSE OF THE ROLE & RESPONSIBILITIES IN THE BUSINESS:
As a Graduate Programme Management Office Assistant at Kainos, you will provide administrative support to project managers through the Project Management Office (PMO) admin function, as well as support for the administration of our professional services automation (PSA) system.
Upon completion of the Early Careers Programme, you will have gained knowledge and skills to help transform the organization and set you on the path to becoming the next generation of leaders at Kainos. Fun fact - 11 of our 17 leadership team members have graduated from our Early Careers Programme!
Your Key Responsibilities Will Include:
- Project Resourcing – you will work with Project Management and Operations Management teams to develop and agree resourcing profiles for each project. Maintaining the agreed resource profiles within the Professional Services Automation tool.
- Project Status Reporting - you will work with the Project Management team to produce fortnightly status reports on the projects currently in flight and presenting the status of the project to the Delivery Management team.
- Project Financial Management & Reporting – you will work with the Project Management team and the Operations Management team to accurately forecast revenue for individual projects, ensure that services are invoiced accurately and on time, and collect debt from overdue customers.
- Sales Pipeline Management – you will work with the Sales team and the Operations Management team to maintain an up-to-date Sales Pipeline within the Professional Services Automation tool. Working with the operations manager to forecast sales to revenue pipeline.
You will also be required to provide general support or assistance as required by the project management office. Comply with all confidentiality and non-disclosure policies and/or agreements and ensure security of information at all times.

Minimum Essential Requirements:
- Already obtained, at least a Level 6 bachelor's degree in a business related subject
- Ability to carry out responsibilities in accordance with company policies, procedures and processes
- Personal time management and planning skills, with ability to work with minimal supervision
- Ability to deliver tasks within a given timeframe
- Demonstrate a willingness to learn
- Good verbal and written communication skills with both staff and external stakeholders
- We all work in teams here in Kainos – a proven ability of strong team skills, including taking direction from others, is crucial
- Be amicable and approachable with a mature, collaborative style
- Familiarity with, exposure to, or a demonstrated willingness to learn generative technologies (such as Generative AI tools) to drive innovation, streamline processes, or deliver impactful results within the role
- No experience required.
Desirable:
- Ability to work efficiently in a fast-paced environment and make sensible decisions
- Previous experience in a similar role
- Experience with Office 365 Suite (Word, Excel, Outlook) or equivalent
- Familiarity with JIRA, Kimble, SharePoint or Workday

Working Arrangements: This role is hybrid. Upon joining, you will be expected to work in your contracted office for 1 day per week.
