Summary:
The Accounts Payable Administrator plays a multi-functional role in supporting the accounts payable team. This position requires strong attention to detail, excellent communication, and the ability to effectively prioritize tasks. The administrator works closely with cross-departmental teams and vendors to ensure smooth operations and accurate processing.
As the AP Administrator, you are the champion of organization and multitasking. You are receptive and a problem-solver, adept at navigating multiple systems, and a collaborator who supports team goals and contributes to organizational success.
This role requires proficiency across multiple facets of accounts payable to effectively support the team and manage assigned processes.
Essential Duties:
Invoice, Mail, and Payment Processing
• Manage AP physical mail and email inbox.
• Assist with weekly check runs, refund checks, certified mail, and FedEx.
• Process and distribute vendor letters for acquisitions and sales.
Vendor Relations & Maintenance
• Respond to vendor and internal inquiries, investigate discrepancies, and resolve issues through effective communication.
• Assist and back up the Senior Vendor Maintenance Specialist by:
◦ Setting up new vendors and maintaining existing vendor records.
◦ Filling in missing vendor data while ensuring accuracy and integrity.
◦ Contacting vendors directly for credentialing and compliance documentation.
◦ Supporting acquisition projects.
◦ Assisting with implementation of the Revyse vendor credentialing platform.
◦ Helping resolve Zendesk tickets for Accounts Payable.
Travel & Expense Support
• Serve as a backup to the Travel & Expense AP Specialist by:
◦ Auditing employee expense reports in Concur.
◦ Assisting with World Travel reporting.
◦ Reconciling monthly credit card statements.
◦ Supporting PCard and Corporate Card programs.
Month-End & Projects
• Aid in month-end close and information gathering.
• Collaborate with the Accounts Payable Supervisor to address issues and support a positive team structure.
• Participate in documenting departmental SOPs.
• Contribute to miscellaneous projects as needed.

Education and/or Experience:
• Associate’s degree in Business, Accounting, or related field; or 2–3 years of relevant accounts payable experience; or an equivalent combination of education and experience.
• Prior experience with real estate, property management, or accounting systems preferred.
• Proficiency with Microsoft Office (Word, Excel, Outlook).
• Experience with Yardi, RealPage, or Skyline Accounting software a plus.
• Comfortable performing basic accounting calculations (e.g., discounts, percentages, interest).
Physical Requirements:
This role requires prolonged periods of sitting at a desk and working on a computer. Occasional standing, walking, and lifting.
Work Environment:
The noise level in the work environment is moderate and typical of a professional office setting. The role involves frequent use of standard office equipment, such as computers, phones, and printers.
