Description

The Accounts Payable Specialist is responsible for the accurate and timely processing of company invoices. This role ensures invoices and purchase orders are properly reviewed, approved, and classified appropriately, and that payments are made in accordance with company policies and vendor terms. The position requires strong organizational skills, attention to detail, and the ability to work collaboratively across departments in a fast-paced environment.

Essential Duties and Responsibilities: The following are general responsibilities associated with the position as directed:

Core Accounts Payable Responsibilities

  • Process vendor invoices, ensuring proper approvals, coding, and supporting documentation.
  • Verify vendor information, including federal ID numbers, and resolve invoice or purchase order discrepancies.
  • Facilitate payments to vendors, applying discounts when available and issuing stop-payment or amendments as needed.
  • Reconcile vendor statements and resolve outstanding balances in a timely manner.
  • Process employee expense reports and ensure compliance with company policy.
  • Prepare and calculate sales/use tax reports based on paid invoices.

Support & Compliance Responsibilities

  • Maintain accurate and organized AP records, documentation, and filing.
  • Assist with month-end close by reconciling accounts payable transactions.
  • Collaborate with the Accounting team and other departments to support accurate      financial reporting.
  • Assist in documenting procedures and strengthening internal controls over      accounts payable.
  • Provide support to other members of the Finance & Accounting team as needed.
  • Perform other related duties as assigned.

Requirements

Education and Experience: The minimum level of education and experience required to perform the job at a satisfactory level.

  • Associates degree preferred or equivalent experience.
  • At least 2 years of data entry experience.
  • At least 1 year of accounts payable or general accounting experience.

Knowledge, Skills, and Abilities: The minimum level of knowledge, skills, and abilities to perform the job at a satisfactory level.

  • Strong proficiency in Microsoft Excel; ability to analyze and reconcile large volumes of data.
  • Excellent attention to detail and accuracy.
  • Strong problem-solving and analytical skills.
  • Effective time management with ability to handle multiple priorities.
  • Strong communication and interpersonal skills; able to work with both internal teams and external vendors.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Flexibility to adapt to changing priorities and assignments.
  • Bilingual in English and Spanish is a plus.

  • Adhere to all local, state, OSHA, and environmental regulations.

· The Accounts Payable Specialist is responsible for accurate and timely entry of financial transactions and for maintaining confidentiality of sensitive corporate and vendor information.

  • Walk and stand for long periods of time; walk and stand on uneven surfaces.

  • Occasional visits to company scrap yards may be required.
  • Be able to lift, carry, push, pull, or otherwise move objects of 50 pounds or more.
