What we’re looking for:
Word of Mouth Fine Catering, a proud member of MML Hospitality, is seeking an energetic and detail-oriented Catering and Event Coordinator to support the planning, coordination, and execution of catering orders and events. This role bridges client communication, sales, logistics, and on-site operations, ensuring seamless experiences for every guest.

What You’Ll Do:
Client & Sales Coordination
- Manage client communications, including order-taking, event confirmations, and timely follow-ups for the Drop-Off/Pick-Up program.
- Respond to inquiries with professionalism and clarity, consistently setting and exceeding client expectations.
- Direct incoming leads to the appropriate sales team member.
- Support quarterly sales goals by identifying and pursuing outbound sales opportunities (local businesses, universities, residential clients).
- Collect post-event feedback to strengthen client relationships and drive continuous improvement.
Event Planning & Administration
- Update and maintain Banquet Event Orders (BEOs), production workbooks, and kitchen worksheets with accuracy.
- Post and distribute finalized BEOs and supporting documentation to culinary, service, and logistics teams.
- Prepare menus, buffet cards, and event binders as needed.
- Collect contracts, process payments, and maintain accurate records.
Drop-Off Sales & Execution
- Oversee the daily operations and growth of the drop-off catering program, including order intake, scheduling, and execution.
- Actively build client relationships and seek new business opportunities to expand this segment.
- Ensure accuracy in orders, timeliness of deliveries, and overall guest satisfaction.
- Partner with kitchen, distribution, and sales teams to streamline operations and uphold quality standards.
- Track performance metrics (volume, repeat business, client feedback) to identify growth opportunities and areas for improvement.
Full-Service Production Support
- Work in tandem with the Catering Sales Manager to support large-scale event production.
- Assist with staffing, creating schedules, and coordinating team assignments.
- Contribute to a positive workplace culture through collaboration, recognition, and constructive feedback.
- Minimum of 2 years of experience in catering, event production, or hospitality operations (coordination and/or sales)
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills, with a focus on professionalism and clarity
- Proficiency in event management or scheduling software (e.g., Total Party Planner, 7Shifts, Google Workspace, Excel/Sheets)
- Ability to problem-solve and perform under pressure in a fast-paced environment
- Availability to work evenings, weekends, and holidays as required
- Ability to stand, move, and lift up to 50 lbs
- Reliable transportation required
Physical Requirements:
