The Pastorate of Our Lady of the Chesapeake and St. Jane Frances de Chantal is seeking candidates for the position of Accountant.  This 28-hour per week exempt level position is responsible for day-to-day management of the Pastorate finances.  This includes accounts payable, receivables and payroll, processing the incoming and outgoing cash of each parish, administering staff payroll and related needs, and safeguarding assets through financial analyses and internal control procedures.  The Accountant reports to the Pastor.  This position is benefit eligible.

Essential Functions

Financial

  • Maintain accurate records for all transactions, including AP, AR, payroll and revenue
  • Process vendor payments and bi-weekly payroll
  • Process offertory, deposits, and pastorate revenue
  • Prepare bank and investment reconciliations for Pastor review
  • Maintain employee payroll files
  • Oversee donation processing (envelope and online) and post weekly giving
  • Maintain tuition assistance applications and process related payments

Administrative & Human Resources

  • Oversee maintenance contracts for various office equipment
  • Oversee purchasing of items for liturgical use
  • Research various means of parish efficiency in spending (i.e. phones, supplies)
  • Maintain employee personnel files including records of employee benefits such as medical/dental coverage, vacation, medical leave, pension, personal leave, retirement
  • Responsible for the knowledge of salary and benefits administration and communication, when necessary, to the staff

Reporting & Compliance

  • Prepare weekly bulletin summaries and internal reports
  • Submit quarterly/annual reports to the Archdiocese and Finance Committees
  • Develop and monitor the annual parish budget
  • Prepare and manage internal audits when required
  • Process annual 1099s for vendors, submit to IRS and State
  • Process daily fraud prevention alerts

Additional Duties

  • Track capital campaign pledges and expenditures when necessary
  • Provide financial support to the Pastor and staff
  • Other duties as assigned 

Position Qualifications

  • BA or BS degree with an academic background in either finance, accounting, or business management.
  • Minimum of two years accounting or bookkeeping experience including accounts payable, accounts receivable, payroll, general ledger, and financial reporting.
  • Proficiency in Microsoft Office suite, particularly Excel and Word.
  • Proficiency in QuickBooks.
  • Ability to perform several tasks concurrently with ease and professionalism.
  • Ability to communicate clearly and concisely, verbally and in writing.

Pay Range:  $35,000 - 40,000, Annualized
