Automation Projects & Services Coordinator 

The Automation Projects & Services Coordinator plays a dual role in supporting the Automation Services BU by supporting the delivery of customer or internal services while also coordinating project tasks with the Project Management teams. This role ensures successful execution of service activities and project tasks including service quote preparation, resource allocation, scheduling, obtaining and tracking customer purchase orders, processing invoices, establishing IFS work orders and projects for services.

Automation Projects & Services Coordinator Success Factors:

  1. 1.       Consistently engages in professional and proactive communications with customers (both internal and external) and service providers to facilitate the timely response of requests by coordinating the service schedule, timely and accurate quotation preparation, the prompt establishment of work orders and projects in IFS, efficient tracking of POs to verify received or outstanding status, timely order invoicing, communicating the logistical information to the service providers, and keeping customers informed about the schedule by maintaining communication and updates.
  2. 2.       Proactive and regular collaboration with the Automation Service Leaders and Project Managers in providing estimated margins on service projects by monitoring actual cost vs. estimated budget cost and providing forecasts throughout the project.
  3. 3.       Supports the Automation Services BU in attaining its business goals and objectives by coordinating all non-technical administrative tasks related to the department including full, accurate, and timely reporting of information used for tracking department metrics, and coordination of Emerson training for services staff and customers.
  4. 4.       Capability to prioritize and manage multiple tasks while also demonstrating the ability to quickly adapt to urgent requests without compromising quality. Resiliency, professionalism, and comfort working in a dynamic setting with frequent interruptions while staying focused, organized, and remaining productive.

Automation Projects & Services Coordinator Responsibilities:

  • Collaborate with the Automation Service Leaders to create quotes for service engagements
  • Create work orders and projects within IFS for all service work performed by Applied Control service personnel
  • Assist with providing customer site specific and/or safety training requirements for Applied Control field service personnel and collaboration with Applied Control EHS Coordinator
  • Send finalized quotes to customers
  • Maintain the service schedule and publish to all required parties weekly
  • Track customer purchase orders to verify received or outstanding status and communicate with customers to keep them informed of the balance status and project schedule
  • Track actual versus budgeted costs in IFS, monitor profitability, and provide feedback to the Project Managers and Automation Service Leaders of project activity that may be in question.
  • Review and approval of service team time and expense sheet entries
  • Invoice projects & work orders in a timely manner
  • Support Application Engineers, Business Development Managers, and Account Managers’ needs as it relates to automation services.
  • Subcontractor management including placing orders, reviewing and approving their invoices for accuracy

Automation Projects & Services Coordinator Skills/Qualifications:

  • Proven ability to work closely with others, particularly peers and sales staff
  • Previous customer service experience
  • Effective planning, prioritization and time management skills
  • Intermediate skill level in Microsoft Excel and other Microsoft Suite tools required
  • Strong understanding of IFS
  • Self-motivated, requiring little supervision
  • Discrete with confidential information
  • Desire to help others and to work with them to find solutions

Automation Projects & Services Coordinator Working Conditions:

Includes working primarily in an office setting, with occasional assignments outside the office.  This position may require evening and weekend hours on an infrequent basis.

Automation Projects & Services Coordinator Compensation: 

Hourly Wage Range:

  • Most Automation Service Coordinators will be hired with a starting hourly rate of $27-33.00 /hour
  • Candidates with 5+ years of experience in IFS, automation service coordination, or other similar experiences could start at a higher rate. Prior work or industry experience, as well as job-related education and unique skills, will be taken into consideration when setting the wage rate. 
  • Other: Eligible for additional incentive compensation including overtime and an annual profit share award.
