The Purchasing Manager oversees all Clinic Sites’ purchasing and materials management to ensure timely, cost-effective, and compliant acquisition of goods and services. This role manages vendor relationships and contracts, purchasing staff, and inventory processes to support clinical operations while maintaining regulatory compliance and cost efficiency.

Essential Job Functions

  • Direct and oversee daily purchasing operations, ensuring accuracy, efficiency, and compliance with hospital policies.
  • Manage the tactical operations of the materials management and purchasing function and staff.
  • Partner with clinical and inventory teams to forecast needs and maintain appropriate stock levels.
  • Source, evaluate, and negotiate with vendors to secure quality products at competitive prices.
  • Identify and implement process improvements to strengthen purchasing systems and controls.
  • Develop, monitor, and report purchasing metrics and dashboards for leadership.
  • Identify vendor opportunities and challenges and partner with the management team to ensure appropriate resolution.
  • Prepare and present dashboards of purchasing activities for managers and the executive team.
  • Ensure compliance with 340B program requirements, purchasing policies, and audit standards.
  • Coordinate across departments (clinical, facilities, administration) to align purchasing with operational needs.
  • Carry out supervisory and managerial responsibilities in accordance with organizational policies and applicable laws, including:
  • Interviewing and hiring purchasing staffPlanning, assigning, scheduling, and directing workAppraising performanceRewarding and disciplining employeesAddressing complaints and resolving problems

General Agency/Ahs Duties

  • Promote teamwork, confidentiality, and compliance with HIPAA standards.
  • Support organizational events, outreach, and quality improvement initiatives as needed.
  • Participates in agency-wide quality improvement program processes and performance improvement teams to ensure excellence in the quality of services provided across the agency.

Supervisory Responsibililties

  • Directly manage purchasing staff including hiring, onboarding, training, and evaluations.
  • Provide coaching, feedback, and performance improvement plans when necessary.
  • Monitor work quality, productivity, and adherence to department standards.
  • Assign workloads, monitor performance, and foster a collaborative, high-performing team.

Minimum Qualifications

  • Minimum 5 plus years of relevant materials management and purchasing experience
  • Strong proficiency in Microsoft Office, including advanced Excel skills.

Knowledge, Skills & Abilities

  • Knowledge of hospital inventory systems, forecasting, and vendor management.
  • Strong analytical, problem-solving, and negotiation skills.
  • Inquisitive, detail-oriented with strong quantitative analytical skills and an innovative approach to problem-solving.
  • Ability to interpret and apply billing regulations, reimbursement policies, and accounting standards.
  • Effective communicator able to work across departments and with diverse populations.
  • Ability to multi-task, meet deadlines, and adapt to changing priorities in a fast-paced environment.
