The department of Medicine has an exciting opportunity for a full-time Sr. Clinical Program Coordinator to work onsite on the UHealth campus. The Sr. Clinical Program Coordinator (H) acts as a lead in the development, organization, production, and evaluation of various departmental program offerings within the assigned unit. Moreover, the incumbent provides a broader oversight to daily program activities in support of the University’s mission. The Sr. Clinical Program Coordinator (H) may evaluate the financial performance of programs to meet departmental goals and assist in the development of short-and long-range budgetary planning.
CORE JOB FUNCTIONS
- Assists with the assignment of tasks to internal teams to include schedule management.
- Assists with budget preparation and tracks all project related expenditures.
- Monitors project progress and addresses any issues that arise. Assists with the identification of completion shortfalls.
Department Specific Functions
- Coordinates patient access projects by tracking escalations turnaround times, appointment utilization and patient access trends.
- Provides support for escalation requests and patient grievances.
- Tracks recurring access barriers, identifies trends, evaluates workflows and recommends process improvement to improve scheduling efficiency and patient access outcomes.
- Ensures all provider templates and physician leave requests meet compliance and Department of Medicine guidelines before submitting template modifications.
- Serves as liaison between clinical providers for scheduling initiatives.
- Reviews and addresses open encounters reports weekly in collaboration with Practice Manager.
- Triages incoming patient calls, reviews/stores clinical documentation in UChart, and provides coverage for administrative duties as needed. Serves as backup for phone coverage and billing practices.
- Uploads SPOK schedules. Ensures Spok and QGenda align.
- Manages and tracks yearly QGenda upload, ensuring inpatient schedules are loaded properly and efficiently. Collaborate with the Administrative Operations Manager and Department Administrator to address scheduling gaps.
- Serves as QGenda liaison for updates, swaps, call outs, vacation requests, and modifications.
- Assist Practice Manager with onboarding duties and functions i.e., introductory meetings, EPIC training coordination, clinic walkthrough, business cards/lab coats order, computer and space setup, security access forms and badge requisition forms, bill area requests, etc.
- Processes Initial Provider Notifications (IPN’s) for new faculty credentialing for both UM and JMH; collects faculty information and manages documentation including pulling cases logs.
- Assists with new faculty with Medicare and Medicaid applications.
- Assists Practice Manager with off boarding duties i.e., patient letters, template closures, rescheduling patients plan, Epic access termination, computer equipment collection, etc.
- Updates Kyruus Provider Match platform.
- Coordinates work orders for equipment/office maintenance for faculty
- Oversee inventory, computer/laptop replacement and purchases; equipment purchases/requests; ad hoc physical plant, U-Service, telecom requests; surplus; oversight for copier management
- Maintains divisional contacts & organizational charts
- Responsible for developing and maintaining divisional archives (i.e., offer letter database, publication database, ACLS, BCLS, DEA, MD licenses (exp. dates), NPI, Medicaid/Medicare #'s.)
- Management of UReady Hurricane preparedness grid - updates
- Ad-hoc PO requisition submission in WD and invoice submissions

- CORE QUALIFICATIONS
- Bachelor’s degree in relevant field required
- Minimum 3 years of relevant experience required
