We are seeking a highly organized and multifaceted Client Services Support Consultant to provide comprehensive support to our Client Services team. The successful candidate will play a crucial role in managing the complete project and contract lifecycle, from initial review to final billing. This position involves direct collaboration with sales, product managers, and fulfillment managers to handle complex customer inquiries, oversee project-specific billing, and perform key administrative tasks to ensure operational excellence and revenue accuracy.
What you will do
- Project & Contract Management: Lead project and contract administration by conducting reviews and securing approvals for archives, prescreens, account reviews, and mail pieces. Manage the full contract lifecycle, including review, approval, tracking, and database entry.
- Billing & Financial Operations: Oversee comprehensive billing processes by tracking, managing, and invoicing various sales agents and end-users. Proactively troubleshoot project-specific billing issues, manage non-bills, handle Purchase Order (PO) requisitions, and resolve accounts payable issues to ensure financial integrity.
- Cross-Functional Support: Provide integral support to internal stakeholders, including sales representatives, product managers, and fulfillment managers. Act as a central point of contact for inquiries regarding billing, pricing, contracts, reporting, and research.
- Reporting & Administration: Manage and consolidate project logs, contributing to the creation of monthly and quarterly team performance reports and executive updates. Ensure timely execution of work orders and coordinate critical team meetings.
- Vendor & Client Onboarding: Serve as a designated backup for the vendor and end-user onboarding process, ensuring continuity and a smooth, supportive experience for new partners when needed.
- Customer Service: Act as a key support contact for customer service issues, working diligently with internal teams to find effective and timely resolutions.
What experience you need
- Bachelor’s degree in Business Administration, Organizational Management, or a related field.
- 1-2 years of experience in a related field (e.g., sales support, project coordination, client services).
English Proficiency B2+
- Flexibility to work overtime and be on-call as required by the business, particularly during critical periods such as project deadlines, month-end, and quarterly closings.
Internal Candidates:
- Must have a minimum of one year of tenure in their current position.
- No active disciplinary actions within the last three months prior to and during the recruitment process.
- Must not be on a Performance Improvement Plan (PIP).
