The Role:
The Team Lead is responsible for assisting the Manager to supervise a team of Senior Coordinators & Coordinators within EU Shared Services.
What your day will look like:
- Responsible for overseeing daily work allocation and task management from a global overview of ESS
- Motivate team of Senior Coordinators & Coordinators to ensure high levels of productivity and client service delivery
- Act as point of contact for Senior Coordinators to answer any immediate questions regarding work allocation and special projects
- Assist Manager in training and developing Senior Coordinators and Coordinators to ensure high levels of productivity and client service delivery
- Maintaining proactive communication with regional and global management teams, using digital collaboration tools
- Assist Manager in recruitment process of Coordinators and Senior Coordinators on team
- Administrative responsibility for new starters joining the team, such as:
- Undertake HR duties, such as:
- Completing onboarding forms
- Team buddies and buddy training
- Reviewing and maintaining new starter materials
- Conducting return to work interviews and maintaining workday records
- Collate all information on probation reports and hand-over to Manager for final review and sign-off
- Attending mid-year reviews with Senior Coordinators and flag any concerns to Manager
- Assist Senior Coordinators in collating feedback and draft end-year review for each Coordinator on team
- Assist Manager in end-year reviews with Senior Coordinators and Coordinators where relevant
- Identifying poor performance and flag to Manager
The Team:
The European Shared Services team supports wider immigration teams in Ireland, Belgium, France, Switzerland and Germany remotely. They are an extremely friendly and supportive team to join with multiple languages being spoken. The team is passionate about providing high quality, efficient and well-defined support to the case teams within Europe.
What We Are Looking For:
Essential Criteria:
- High level of German language, ideally C level but at least B2
- Uses communication skills to influence and achieve objectives
- Supports strong client relationships by displaying professionalism and efficiency
- Generates clear, well-organized written work-product internally and externally
- Identifies training and development areas within their team and communicates these needs along with suggested development outcomes
- Demonstrates professionalism and confidence in verbal communications with their team
- Ability to work flexibly and accurately in a fast-paced environment
- Demonstrate exceptional planning and time management skills with an ability to multi-task.
- Be able to act under instruction with limited supervision with the ability to demonstrate initiative in problem solving and decision making
- Be able to plan workload, meet deadlines and priorities
- Ensures work completed is accurate, to a high quality and follows standard layouts
- Able to act under instruction
- Completes tasks within agreed timeframes and in line with expectations
- Implement effective processes to manage workflow and meet deadlines
- Demonstrates proficiency in word processing, Internet and email systems
Preferred Skills:
- Previous experience of supervising a small team would also be beneficial as well as experience within a client facing role
