Role Profile
Within Global Occupier Services (GOS), our Lease Administration team ensures that our clients’ portfolios are supported by data accuracy, timely communication, and proactive issue resolution. As a Helpdesk Specialist, you’ll operate at the intersection of client support, data governance, and real estate coordination—liaising across internal teams, landlords, tenants, and external service partners. You’ll play a key role in the smooth delivery of services and support process improvement initiatives that enhance operational excellence.
Core Responsibilities
- Act as the first point of contact for property maintenance-related helpdesk request
- Liaise via email or phone with landlords, tenants, and external agents to resolve issues
- Review lease documents to determine maintenance responsibilities
- Coordinate property inspections and ensure compliance with security procedures
- Maintain and update records of maintenance inspections and jobs
- Log external Facilities Management jobs, monitor deadlines, and ensure quality reporting
- Source and manage leases, plans, and property documentation
- Maintain shared inboxes and ticketing systems according to KPIs
- Generate monthly KPI and performance reports
- Manage individual workload and assist junior team members
- Contribute to team knowledge sharing, training, and onboarding
- Support system testing and process improvements
- Attend recurring and ad-hoc team and client meetings
- Maintain training documentation and ensure updates (e.g., L5 documents)
Requirements
- Bachelor’s or Master’s degree in a relevant field
- Minimum 2 years’ experience in client/customer care or real estate operations in an international environment
- Strong IT literacy, including upper-intermediate MS Office proficiency
- Fluent in English (upper-intermediate) and German or French (intermediate)
- Outstanding written and verbal communication skills
- Sharp analytical and problem-solving abilities
- Ability to work independently and collaboratively within a team
- Strong work ethic and flexible mindset in dynamic environments
- High-pressure task prioritization and execution
