Job Summary:
The Shipping Clerk’s responsibilities include shipping and dispatch coordination; order fulfillment and packaging; and managing inventory and material movement.
Attention to detail is critical to avoiding shipping errors.
What You Will Do:
- Pick and pack orders according to specifications and ensure all items are securely packaged to prevent damage during transit.
- Review, prepare and verify shipping documentations, including bills of lading, packing lists, and shipping labels, sales and production orders to prepare accurate shipping lists.
- Schedule and coordinate outbound shipments to ensure on-time delivery to customers.
- Verify accuracy of outgoing shipments and resolve any discrepancies before dispatch.
- Communicate with carriers to arrange pickups, resolve delays, and confirm delivery appointments.
- Monitor the status of shipments and update internal systems accordingly.
- Ensure proper loading of shipments to maintain product integrity and comply with carrier requirements.
- Assist with internal material transfers and staging of products for shipment.
- Maintain organized and accurate shipping records and assist with inventory tracking as needed.
- Coordinate with inventory control department to ensure product availability for shipment.
- Track key performance metrics such as on-time shipment rate and error rate.
- Report shipping issues or carrier delays to appropriate personnel in a timely manner.
- Ensure shipments comply with DOT, OH&S, and company shipping guidelines.
- Support adherence to 5S, Lean principles, and good housekeeping practices in shipping areas.
- Dispatch – Dispatches outbound truckload shipments to approved carriers for timely delivery to our customers. Works closely with Sales, Customer Service, and our base of carriers to ensure the efficient delivery of our goods. Must have good analytical skills to examine each delivery for the type of equipment needed, length of haul, freight cost calculation, and carrier lane preference.
- Customer Service Follow-up – Traces or re-consigns truckload shipments on an outbound basis to provide administrators with up-to-date shipment information as needed. Provides truckload freight quotes on individual shipments to Customer Service. Adds, changes, and deletions on allocated shipping orders are performed routinely. Confirms jobsite deliveries with customers. Forwards all shipment discrepancies to management.
- Carrier Interface – Works to maintain good carrier relations and communication. Ensures proper trailer numbers are assigned to loads in conjunction with carrier requests. Follows up on trailer damage with carrier maintenance personnel. Works with carriers to understand needs regarding reload possibilities and specific lanes they prefer to haul. Documents late carrier deliveries and follows up with Customer Service to resolve and/or file claims with the carrier to recover additional costs.
- Detention – Takes proactive steps to avoid detention. Documents detention charges incurred and notifies Customer Service for direct billing to the customer. Reviews all detention freight bills and ensures they are accurate for management’s approval.
- Transportation Costs – Responsible for using the most economical carrier to meet customer requirements. Calculates truckload freight charges and assigns them to the correct product code for entry in the delivery. Negotiates spot contracts to move specific loads in difficult transportation lanes.
- Supports/fills in for other shipping office staff. Cross-training is required to be able to perform all job tasks.
- Other duties as assigned.
Qualifications/ Skills/ Knowledge:
- Proven 3+ years of work experience as a Shipping Clerk or Dispatch or similar role.
- 3+ years of in-house production, shipping, or material handling experience.
- High School Diploma or GED required.
- Logistics/Supply Chain experience preferred.
- Forklift certification is an asset.
- Ability to multitask and pay close attention to detail in a fast-paced environment.
- Excellent team player
- Ability to follow written and oral instructions, procedures, and guidelines.
- Excellent and professional communication skills
- Ability to lift items and containers up to 50 pounds.
- Flexibility to work different hours throughout the week as needed.
- Able to operate ERP systems and shipping software and portals (e.g., FedEx, UPS, freight carriers) for label generation and tracking.
- Good in MS Office.
Working Conditions:
- Exposure to all weather conditions including high heat, extreme colds, rain, snow, ice, and wind.
- Fast pace congested material handling equipment traffic.
- Potential for a drafty work area.
- Chemical exposure – handling of pallets, cans, and boxes of adhesive, handling of raw material chemicals.
- Pinch hazard from moving mechanical parts on forklift, truck doors, etc.
- Occasionally work in high places using a safety cage.
