The Role We Want You For
Clayco SEI is seeking a highly organized and proactive professional to serve in a dual-capacity role as Contract Administrator & Executive Assistant. This unique position will directly support SEI’s leadership team while ensuring seamless management of contracts, compliance, and operational documentation. The ideal candidate thrives in a fast-paced construction environment, demonstrates meticulous attention to detail, and can balance executive-level administrative support with contract lifecycle management responsibilities.
The Specifics of the Role
Contract Administration:
- Workflow management of subcontractor and vendor agreements, ensuring compliance with Clayco’s legal and risk standards.
- Maintain a centralized contract repository, monitor key deadlines, and track compliance metrics.
- Support change order processes, insurance verification, and subcontractor compliance to reduce project delays.
- Identify and escalate potential financial or legal risks, non-compliance issues, and contract mark-ups. Adapt to AI-driven tools for contract review, procurement optimization, and compliance automation.
Executive Assistance:
- Manage and maintain executives’ schedules; coordinate and facilitate leadership and client meetings.
- Prepare high-level reports, presentations, and company materials tied to SEI’s operational goals and project performance.
- Handle confidential material and executive-level correspondence with discretion and sound judgment.
- Coordinate executive travel, logistics, and expense reports.
- Serve as the first point of contact for SEI leadership, liaising with internal teams, clients, and external partners.
- Read and analyze incoming memos, submissions, and reports to determine significance and plan distribution.
- Prepare responses to correspondence containing routine inquiries.
- Other ad hoc duties as required.
Requirements
- Bachelor’s degree in Business Administration, Construction Management, Legal Studies, or related field preferred.
- Associate degree or equivalent experience may be considered with strong demonstrated performance in construction administration.
- Paralegal certification or contract management certification (IACCM/CCCM) a plus.
- 3–5 yearsof experience in contract administration within construction, engineering, or real estate industries.
- 3–5 years of experience as an Executive Assistant, supporting senior or C-suite leadership.
- Proven experience managing contract lifecycle processes: drafting, reviewing, redlining, and compliance tracking.
- Strong knowledge of construction contracts, change orders, risk clauses, and subcontractor compliance.
- Familiarity with subcontractor management, insurance compliance, and vendor coordination.
- Strong background in confidential executive support, including handling sensitive financial and strategic information.

- Soft Skills:
- Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Procore, CMiC, or other project management platforms
- Contract Lifecycle Management (CLM) systems or legal document management tools
- Expense tracking & executive reporting tools
- Strong organizational and prioritization skills; able to balance dual responsibilities.
- Exceptional written and verbal communication.
- Ability to act as a liaison across business units (Legal, Operations, Finance, Procurement).
- Proactive, resourceful, and able to anticipate needs before they arise
- Comfortable in fast-paced, construction-driven environments with shifting priorities.
