HR Coordinator-Japan (PT)

On boarding
Office tour(10-15min)
Security card registration (10 mins)
-Collect new hire’s information from HR.

Create business card(2-3 days)
-Collect the information and check the card data.

Setup IT equipment (PC monitor / Laptop / install all necessary apps & Printer etc )(half day - 1 day)
-Always stuck Login process, so need to connect to IT team instead of new hire.
-Preparation for a desk, set up monitors, confirm all necessary apps & Printer setup has been done successfully. If new hire faces some issues, please help them.

Personaldocumentation (3-4 days)
-Confirm with Dayforce if there are missing documents.

New registration for DC security (2-3 days)
-Collect all information and check them. Also new hire need to transfer their pension plan to ours, additional document is required. Confirm with DC security.

New registration for Dai-ichi insurance(benefit insurance)(Half day - 1 day)
-Collect all information and check them. Once online registration has been completed, Documents need to send to Dai-ichi Life.

Enter personal information on Dayforce Workcloud (2-3 days)
-Need to check with Dayforce if there are missing information or something.

Inform TMF the new hire’s name and cost centre.
-Collect new hire’s information from HR.

Distribute to insurance card when it’s delivered to the office.

Communicate with Dayforceif necessary
-Since each situation is different, I check with Mr. Ishiguro by phone each time.

Off boarding (2-3 days)
Collect social insurance cardand returnto Dayforce(Ms. Ishiguro)
-Depends on the situation, need to send return envelope to leaver.

Collect all IT equipment. Once all IT equipment has been received, inform to IT team.
-Depends on the situation, need to communicate with IT team to prepare a return box.

Collect Office security card and return to JustCo reception and ask to themto delete the information.
-Depends on the situation, need to send return envelope to leaver.

Send Tax certificate/Letter of Separationto leaver’s private contact mail once it’s ready.
-Instructions from Dayforce or HR team.

DC security Withdrawal procedures.
-fill in the Withdrawal form and upload on the system.

Daiichi life insurance Withdrawal procedures.
-fill in the Withdrawal form and upload on the system. Once documentation is ready send to Daiichi life.

Monthly Process

DC security retirement pension plan(30mins)
Approval for monthly contribution amount on DC security site.
Download the monthly contribution amount list -> Get Narasimha Bhat’s approval -> Approve the amount on the site -> send the amount payment invoice to Narasimha.

Send a Pension insurance premium receipt (保険料納入告知額・領収済額通知書) to TMF(5mins)

Scan the receipt and send to TMF


Office Admin related
JustCo(New Office)(Spot)
Communicate with JustCo staff, If there is a problem or something.

Mailscheckand distribute to vender (Depends on the Month. It’s on and off)
Check Tokyo officemailbox and distribute to recipients.
For Tax / bank / payment related -> mail to TMF

For Resident tax and payroll related -> mail to Dayforce
-In May and November, we will receive a notice of residence tax and a report of salary payments from each employee’s city.

Send out the mails/packages (Spot)
Bring out the mail / package to Post office.

Equipment and supplies(Spot)
Purchase and management of equipment and supplies

Business card / Envelope (Spot)
Order business card / Envelope to Mprint.

Payment process for local office related invoice (30 mins)
ASKUL / M-Print

Book a meeting room (Spot)
