About The Role

The Online Business Manager is a strategic leadership role dedicated to overseeing all business operations, coordinating team performance, and ensuring our organization runs efficiently while maintaining our mission-driven focus. This role is central to translating executive vision into actionable plans, managing cross-departmental coordination, and creating the systems that allow our team to scale impact for Black and Brown families.

Working directly with the Executive Director, you will serve as the operational backbone of our organization, managing team members across curriculum development, marketing, and customer experience while building the systems that support sustainable growth. Initially, you will build operational systems and work within them directly (such as managing customer service inboxes), then collaborate with leadership to determine when and how to scale through additional hires. This is a role for someone who is strategically minded, operationally excellent, and passionate about creating infrastructure that serves our mission.

This role requires both high-level strategic thinking and hands-on operational management - you will develop systems AND ensure they're followed, coordinate team performance AND handle escalated issues, analyze business metrics AND implement improvements. You will own the operational excellence that allows our Executive Director to focus on vision and growth while ensuring every aspect of our business reflects our values and serves families with excellence.

Key Responsibilities

As a Strategic Business Manager, you will:

  • Translate high-level business objectives into actionable project plans with clear timelines and deliverables
  • Monitor budget allocation and ensure all initiatives align with financial goals and strategic priorities
  • Make strategic recommendations about resource allocation, timing of investments, and ROI optimization
  • Coordinate work across all departments (curriculum development, marketing, customer experience, technology)
  • Assign tasks and track completion across team members, ensuring accountability and quality standards
  • Handle escalated issues and complex problem-solving that requires strategic thinking and decision-making
  • Manage cross-departmental communication and ensure seamless collaboration between team members
  • Serve as the Executive Director's strategic partner in planning and executing business initiatives
  • As a Performance & Analytics Leader, you will:
  • Monitor performance metrics across all business areas including marketing, sales, customer satisfaction, and operational efficiency
  • Create comprehensive weekly and monthly reports that provide leadership with actionable insights
  • Track team productivity, project completion rates, and quality standards across all departments
  • Analyze business performance data and recommend optimizations based on financial and operational metrics
  • Identify trends, bottlenecks, and opportunities for improvement across all business functions
  • Establish KPIs and measurement systems that align with organizational goals and budget objectives

As a Systems & Quality Oversight Manager, you will:

  • Develop and maintain standard operating procedures for all business processes
  • Ensure quality control and brand compliance across all customer touchpoints and team deliverables
  • Create and update documentation that enables team members to work independently and maintain standards
  • Monitor system performance and implement improvements that enhance efficiency and customer experience
  • Establish workflows that maintain our authentic voice and cultural responsiveness across all operations
  • Build scalable processes that support business growth while preserving quality and mission alignment

As an Operational Execution Partner, you will:

  • Handle customer service inquiries and support issues with warmth and cultural competency
  • Manage executive and general business email inboxes, filtering and prioritizing communications
  • Execute administrative tasks including file organization, project coordination, and system maintenance
  • Provide basic technical support for platforms, troubleshoot routine issues, and coordinate with specialists for complex problems
  • Process operational workflows such as mail handling, task creation, and digital asset management
  • Perform hands-on operational work while building systems and processes for future delegation to specialized team members

As a Team & Project Coordinator, you will:

  • Manage project timelines and ensure deliverables are completed on schedule across all departments
  • Facilitate team communication and resolve conflicts or coordination challenges
  • Conduct regular check-ins with team members to ensure they have resources and support needed for success
  • Monitor marketing team execution by sitting in on strategy calls and ensuring campaigns are delivered as planned
  • Track marketing deliverables, deadlines, and performance to ensure accountability and quality standards
  • Coordinate between marketing, curriculum, and customer experience teams to ensure seamless collaboration
  • Step in and execute critical tasks when team members are unavailable or unable to fulfill their responsibilities
  • Lead hiring processes including job posting, candidate screening, interviewing, and onboarding new team members
  • Manage team performance, including setting expectations, providing feedback, and handling performance issues
  • Identify training needs and coordinate professional development opportunities for team members
  • Create accountability systems that encourage high performance while maintaining supportive team culture
  • Serve as primary point of contact for team members when Executive Director is unavailable
