The purpose of this position is to provide essential administrative and project coordination support to our regional operating teams. The successful candidate will be required to cultivate confidence and trust by completing all required tasks, activities, and projects accurately, timely, and thoroughly.
Key Responsibilities:
- Serve as the main contact for office inquiries and provide assistance with desk phone, company cell phone, and computer setup
- Manage access to various file drives and systems such as CC&B, Maximo financials, and SharePoint
- Handle inbound and outbound mail services, including FedEx, USPS, UPS, and internal mail
- Coordinate monthly vehicle inventory management and order various office items
- Perform general administrative duties such as booking meetings, sending emails, and updating documents
- Assist with special projects and maintain logs as required
- Guide contractors around the building and update the office directory
- Manage badge replacements and provide temporary badges
- Coordinate field operations and communicate with late-working crews
- Schedule DOT physical appointments and track related activities
- Assist with uniform invoice approvals, employee reimbursements, and hazard tag collection
- Report IT-related issues and facility problems to resolve them promptly
- Order and manage supplies, including large diameter steel and plastic pipes, fire extinguishers, and janitorial supplies
- Organize meetings and events, including room booking and event coordination
- Support inventory and facilities management, including waste management and Air Gas restocking
- Process trucking vendor invoices and manage daily truck hauling route sheets
- Provide customer service by scheduling appointments and assisting with meter exchanges and leak surveys
- Manage expenses, including order management and P-Card reconciliation
- Assist with incident reporting and coverage for other regional clerks
Requirements:
- Able to lift 20-50 lbs
- Able to carry, push/pull, sit, stand, walk, bend, turn/twist, kneel, squat, reach, turn wrists, and have manual dexterity
- Able to recall and understand instructions and create solutions
- Have strong communication skills (verbal and written) with co-workers and supervisors
- Able to handle a spectrum of stress levels
- Able to distinguish colors, see clearly, and hear
- Able to work inside in an environment with varying noise levels
- Ability to read and comprehend instructions and recall from memory
- Able to sit for long periods of time
- Ability to convey information accurately and concisely
