HALO is seeking an Account Solutions Specialist who will play a key role in ensuring seamless order flow from placement to payment for substantial amount of client orders. This position serves as the primary point of contact for multiple Account Executives, proactively resolving order issues, facilitating communication between internal and external stakeholders, and driving efficiencies in the order-to-cash process. By collaborating across teams, the Account Solutions Specialist helps transform the organization from tactical order taking to a true business partnership with customers and sales support.
HALO is committed to its hybrid workplace model and believes bringing teams together in person on common days is essential to operate as One HALO. As part of this effort, we require employees who reside within a 30-mile radius of the Sterling, IL office to work in-person 1x a week.Responsibilities
- Facilitate continuous order flow from order to payment by reducing time between order to PO, PO to shipment, shipment to invoice, and invoice to payment.
- Identify and address open order issues with the help of Account Executives and HALO team members.
- Raise concerns or order holds causing delays by escalating priority orders to appropriate functional Team Leaders.
- Advise Concierge Team Supervisor of repetitive flow interruption issues for root cause analysis and continuous improvement.
- Serve as the primary point of contact for Account Executives.
- Respond to Account Executive inquiries by monitoring order status and providing updates to Sales users.
- Proactively review orders waiting for external response and seek feedback directly from Account Executives, Customers, or Suppliers with team support.
- Provide feedback to Account Executives on opportunities to prepare more complete orders.
- Recommend open order priorities to Concierge Team Supervisor based on event/due dates, rush orders, or special requests.
- Identify and resolve open orders with complexity such as multi-ship, multi-bill-to, or special requests for freight or other notes.
- Escalate issues requiring Sales management involvement to the Sr. Concierge or Leadership.
- Collaborate with Billing Coordinators, Credit, and Accounts Payable to help resolve customer and supplier issues requiring Account Executive intervention.
- Support the organizational shift from tactical order taking to strategic business partnership with customers and sales teams.
Requirements
- High school diploma or equivalent required.
- 2+ years of administrative and/or customer service experience a must.
- Strong attention to detail with exceptional organizational skills.
- Active listening skills, including asking clarifying questions and responding thoughtfully.
- Proficiency with basic computer use, including Microsoft Office; highly proficient in Excel and report analysis
- Must be system adaptable; strong ability to learn company-specific systems quickly.
- Professional written and verbal communication skills, including strong email and telephone etiquette.
- Ability to multi-task and manage time effectively to meet strict deadlines.
- Flexibility to work both independently and as part of a collaborative team environment.
Compensation: The estimated hourly range for this position is between $19.50 and $26 an hour. Please note that this pay range serves as a general guideline and reflects a broad spectrum of labor markets across the US. While it is uncommon for candidates to be hired at or near the top of the range, compensation decisions are influenced by various factors.
