Job Description
AECOM is seeking a Document Processor for one of our offices in Sacramento, CA. This role is open to remote work.
Summary
This role will provide vital support for ROW activities through document preparation, processing, and tracking. Ensures timely handling of property-related documents and maintains organized filing systems. This role is key to supporting compliance, workflow efficiency, and project delivery.
Job Responsibilities:
- Receive plats and legal descriptions from survey team, creating deed jackets, coordinate with utility owners, obtain approvals, signatures, notarize documents, record conveyances and transmit letters of completion to the Authority
- Provides assistance to the right-of-way staff and managers to ensure efficient operations. Assists and advises the ROW Project Manager and the office staff, relieving them of administrative detail. Assists with administrative problems, procedural and confidential matters, project reporting, tracking and schedules
- Organizes staffing plans, prepares progress reports on a weekly basis that include project schedules, progress to date identified by task, description of the progress including identification of problems, propose solutions, completion date tracking and project reporting
- Maintains proper project filing system, both hard copy and digital. Ensures deliverables are stored in a retrievable location after submittal. Drafts letters, proofreads and reviews correspondence and documents
Qualifications
Minimum Requirements:
- BA/BS + 4 years of relevant experience, or demonstrated equivalency of experience and/or education.
Preferred Requirements:
- Be knowledgeable of organization, personnel and management; office management principles, methods, and procedures; administrative techniques and skill in their application; statistical and research methods
- Work with utility agency staff in an effective manner to submit and obtain approvals for conveyance packages
- Think clearly and quickly and analyze and solve problems encountered
- Be persistent and follow up during approval process
- Keep organized records of document status through the various steps of completion
- Relay and elevate issues in a timely manner to the project team for resolution
- Establish and maintain cooperative working relationships; speak and write effectively
- Excellent interpersonal skills
- Ability to carry out assignments without detailed instructions and with challenging stake holders and deadlines
- Demonstrated capacity for high levels of responsibility
- Ability to be tactful and use good judgement
- Ability to be mobile, working with various locations and varied work schedules depending on need
