The Retail Real Estate Representative plays an essential role in managing the full lifecycle of a company's store leases, from coordinating legal documents and tracking critical dates to collaborating with various teams to ensure smooth real estate operations. Reporting to the Retail Real Estate Leasing Manager, your core RESPONSIBILITIES will include:

Lease Coordination & Administration

  • Manage the full lifecycle of lease documents, including drafting, tracking, organizing, and maintaining executed leases in Google Drive, Tango, and related systems.
  • Abstract new leases and ensure critical lease data (rent, CAM, termination rights, kick-out clauses, etc.) is accurately captured and maintained.
  • Negotiate lease renewals and leasing projects as assigned.
  • Monitor and track key lease dates, including renewals, expirations, terminations, and options.
  • Lead the deal process after approvals through legal execution, ensuring timely completion and compliance.
  • Ensure lease compliance by reviewing provisions and monitoring obligations.
  • Execute year-round and seasonal storage needs for retail  including negotiation, storage leases and manage all related documentation.
  • Coordinate internal approval processes and signature workflows to ensure timely lease execution.
  • Partner with AP, Insurance, and Accounting teams to align on lease obligations, payments, and compliance.

Portfolio Management & Reporting

  • Collect, track, and prepare portfolio deal progress reports and real estate committee (REC) materials.
  • Manage and prepare agendas for real estate meetings, jointly with the Leasing Manager.
  • Prepare ICSC reports, marketing decks, and other presentation materials.
  • Own (with support) the ICSC process, including meeting coordination and distribution of “Lush Update” communications.
  • Provide data and reports in conjunction with the Finance Analyst to evaluate renovation needs and strategy meetings.
  • Lead MRI system implementation and ensure continuous improvement of real estate data flow and reporting.
  • Conduct market reviews, prepare market tour materials, and distribute findings to the team.

Strategic Support

  • Support real estate managers and finance analysts with deal approval packages and site selection analysis.
  • Monitor North America legal costs and track real estate budget performance.
  • Support global real estate initiatives, including process alignment and software collaboration.
  • Participate in process improvement initiatives to enhance efficiency across real estate workflows.

Cross-Functional Collaboration & Support

  • Act as a liaison between landlords, legal, real estate, construction, design, retail operations, and finance departments.
  • Support construction budget reporting and  tracking, and CapEx planning for new builds and renovations.
  • Support store opening processes, ensuring seamless handoff between teams.
  • Guide retail operations on lease renewals, relocations, and lease-related issues, escalating where necessary.
  • Review and respond to real estate-related inquiries from retail clients, escalating issues as necessary.
  • Provide support for financial summaries and deal support packages for site selection, renewals, and approval processes.

You Bring The Following Qualifications:

Required:

  • 3-5 years of experience in real estate lease coordination or administration, preferably in retail.
  • Strong knowledge of lease documents, compliance, and property management systems.
  • Proven experience in commercial lease management including site selection, lease renewals, extensions, amendments and negotiations
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Proficiency in Excel/Google Sheets with strong financial and analytical acumen.
  • Effective communicator, detail-oriented, and proactive problem solver.
  • Ability to work independently and collaboratively across teams.

Preferred:

  • Experience in retail tenant real estate.
  • Familiarity with MRI, Tango, or similar lease management systems.
  • Bachelor’s degree in Business, Finance, Legal Studies, or related field.

Job Type: Permanent Full Time. Remote role, with frequent travel (1-2 trips per month) required within North America.

Job Location: Open to candidates located within North America only.

Base Salary Ranges:

  • Vancouver/Toronto: $77,000 - $90,000 CAD
  • US Wide: $74,000 - $80,000 USD

This salary ranges are based on an assessment of the local market and may vary depending on the successful candidate's location. This range is based on base salary and does not include additional bonus program and total rewards eligibility.
