Overview:

InterSystems France is seeking an experienced and motivated Office Manager to oversee daily office operations, facilities management, and provide support with HR-related tasks. The role also includes responsibility for leading the Administrative Support Group (ASG). This is a key position in a growing subsidiary, requiring adaptability, strong organizational skills, and a proactive approach.

Key Responsibilities:

Facilities & Office Management

  • Manage the French office facilities.
  • Act as the main contact with building management, vendors, and contractors.
  • Oversee office services, contracts, leases, insurance, mobile phones, company cars, and travel platforms.
  • Ensure health, safety, and security standards are met, including risk assessments, compliance with local/EU regulations, and staff training (fire wardens, first aiders, etc.).
  • Coordinate office moves, workspace setup, and storage management.
  • Support budgeting and reporting for facilities and office operations.

Human Resources Support:

  • Support onboarding and offboarding processes, including equipment coordination and induction.
  • Maintain employee records (probation, absence, benefits, HRIS updates).
  • Assist with payroll data collection, benefits renewals, and employee queries.
  • Contribute to HR reporting, compliance, and intranet updates.
  • Support the HR Manager and Director of HR with project work and ad hoc requests as required.

Administration & Team Leadership:

  • Lead and support the Administrative Support Group (ASG) to ensure efficient office operations and a high level of business support is provided at all times.
  • Provide flexible support to administrative staff and reception when needed.
  • Coordinate special projects and respond flexibly to ad hoc requests as required.

Data Protection:

  • Work with in-house counsel to ensure compliance with data protection requirements.

Requirements:

  • Minimum 5 years’ experience in office management or coordination with HR responsibilities, preferably in a fast-paced, international environment in France.
  • Strong written and spoken communication skills in both French and English.
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
  • Strong interpersonal skills and ability to lead a small team.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Degree-level education; HR qualifications desirable.
  • Flexibility to travel as required.
