Position Purpose:
Reporting to the Manager, Career and Professional Development, the incumbent oversees and provides administrative support of all aspects related to the efficient delivery and improvement of the Common Law experiential learning programs. Assists the directors of these programs to translate program objectives and strategies into plans and deliverables while promoting efficient integration of inter-connected programming and excellence in service delivery. Ensures effective liaison and co-ordination with alumni, external organizations, advisory committees, and members of the legal profession. Ensures effective recruitment and participation by students in national and international competitive moots.
In this position, you are responsible for:
- Coordinates and manages ongoing operational activities related to designated experiential learning opportunities including: student recruitment, selection process and registration; program activities, workshops, assignments, cross-program activities; moot competition tryouts, practice sessions, schedules and moot team-travel; recruitment process of external lawyer-volunteers for programs and competitions;; liaises with faculty members as needed in relation to designated experiential learning opportunities; supports outreach to the alumni networks for experiential learning programs.
- Participates in needs analyses and planning activities by contributing operational improvement ideas related to program delivery. Ensures collection, accurate tracking and collation of data for evaluating performance against program objectives as well as program deliverables to participants’ needs.
- Coordinates the recruitment of students in designated experiential learning opportunities, such as Writing Leaders, Deans Fellows, Practicum students, and Moot participants; manages the training schedule and payment for student teaching assistants, graders, and peer-mentors. Manages practicum student placements where applicable and integrating their work in other program courses.
- Assists experiential learning program directors by preparing detailed schedules and budgets and monitoring program expenses. Coordinates with human resources and financial officers regarding all hires and payments related to the student experience programs. Verifies the accuracy of the program budget and prepares quarterly accounting reports.
- Coordinates with the Intermediate Specialist, Academic Delivery Support and the Administrative Officer, Physical, Material and Financial Resources to meet the special room requirements related to experiential learning programs and courses.
- Acts as a first-contact resource person to counsel students on requirements for designated experiential learning programs. Acts as a resource person to counsel students on how to apply for designated application-based experiential learning programs, such as Dispute Resolution and Professional Responsibility and Legal Writing Academy.
- Coordinates the development of communications to promote the visibility of designated experiential learning programs and events (Brochures, posters, announcements, publications, etc.). Drafts routine and complex correspondence primarily in English for both internal and external recipients. Liaises with the applicable communications staff to produce high-quality promotional publications.
- Coordinates travel arrangements for all competitive moot teams. Research suppliers to obtain estimates and make the necessary reservations in compliance with uOttawa regulations. Assembles the necessary documentation, follows up and collaborates with other uOttawa sectors to finalize payment of invoices and reimbursement of travel expenses.
- Acts as an ambassador for the program, and actively promotes program impact, features and successes. Effectively communicates the link between program objectives and the overall vision of the faculty or service, while consistently supporting and upholding the reputation of the program.
What You Will Bring:
- Bachelor’s degree in a field related to the core business of the program; five years of related experience in program or project management
- Strong organizational skills to manage multiple elements of ongoing operations more multi-faceted programing
- Strong interpersonal and communication skills
- Experience in administrative writing with excellent English grammar and proofreading skills
- Experience in budget management and planning
- Excellent knowledge of computer software programs computer systems and software including social media platforms, spreadsheets, databases, Internet and e-mail and learning management programs
- Proven commitment to client satisfaction
