The Administrative Assistant will provide clerical support for the FCA field office to accomplish the FCA mission and vision and reflect the FCA Core Values in the ongoing work of that office.

Ministerial Duties

These responsibilities are critical to the FCA mission and this position plays a vital role in our ministry. FCA expects all functions and responsibilities outlined below to be carried out with a heart surrendered to serving God as a form of worship.

  • Agree with, and abide by, FCA's Christian Community Statement.
  • Follow a spiritual rhythm including daily prayer and Bible study to seek the Lord's will for FCA.
  • Lead, conduct and provide spiritual leadership for staff, volunteers, coaches and athletes through prayer, Bible study, worship and living by example so they are equipped to serve others.
  • Connect to and participate in a local church through worship and weekly involvement.
  • Conduct yourself in a manner that affirms biblical standards of conduct in accordance with FCA's Christian beliefs (see FCA's Christian Community Statement) at all times.

Position Responsibilities

  • Responsible for appointments/meetings with staff, ministry partners, vendors, etc.
  • Handles travel arrangements for assigned staff.
  • Receives and screens telephone calls and emails for area office.
  • Retrieves, opens, and distributes office mail.
  • Plans, organizes, and completes assigned work in a timely manner.
  • Manages development of resources and meets deadlines of assigned projects.
  • Coordinates donor ministry events, banquets, staff meetings, etc.

This role will support and grow the partnership network of Columbus City Schools FCA and multiply the impact of the ministry through advancing:

Key Responsibilities

Ministry Advancement

  • Pray continually for staff, volunteers, partners, and the ministry.
  • Invite coaches, donors, volunteers, and community members to events and gatherings.
  • Encourage and follow up with new connections from FCA events, community events, church visits, and networking opportunities.
  • Send personalized communication and resources to engage and equip coaches, Church Partners, and volunteers.

Donor & Board Advancement

  • Plan and share digital communications including newsletters, prayer team updates, and social media posts to consistently communicate compelling and clear impact stories of coaches and athletes by highlighting transformed lives and how the ministry is growing to create excitement and movement.
  • Connect current donors to the FCA ministry by inviting them to be involved in local ministry events.
  • Provide donor experiences by hosting events including “Impact Nights” to build strong relationships and connect with the community and other donors.
  • Encourage the spiritual health and development of the donor and their families by making personal connections through coordinating touchpoints, acts of appreciation, and reporting to supporters including face-to-face meetings, handwritten notes, emails and texts.
  • Use software to manage and track relationships with current and potential ministry partners, donors, churches, huddle leaders, and committee members in collaboration with the Director.
  • Research and assist in applying for grants; organize and maintain communication with current grantors, church partners, and donors.
  • Support the Committee Chair in keeping growing relationships with local committee members encouraged and mobilized by identifying others who can impact the Kingdom of God through the ministry of FCA and helping them invest in them.

Talent Advancement

  • Working with the Committee, Director, volunteers, partners, and donors to assist with recruiting staff.

Administrative Support

  • Manage office communications including phone calls, emails, and mail distribution.
  • Schedule appointments, meetings, and travel arrangements for staff and ministry partners.
  • Maintain organization of office resources and ensure deadlines are met for assigned projects.
  • Assist in planning and executing ministry events such as donor banquets, committee meetings, and staff gatherings.
  • Submit check batch reports, expense reports, and other financial documentation accurately and on time.
