Budget Responsibility: Assists management with maintaining par inventory levels in a fiscally responsible manner.
Authority/Decision Making Level: Under the direction of a physician, takes appropriate clinical actions using available resources, to achieve positive outcomes for patients, visitors, and staff. Independently prioritizes daily tasks and assignments. Identifies and recommends opportunities for improvement in order to ensure patient safety and quality outcomes. Responds to urgent and unplanned situations appropriately.
Problem Solving: Capable of making decisions to ensure patient safety and promote quality patient care.
Information Management: Utilizes computer systems as required.
Working Conditions: Works in a typical ambulatory care environment where there are limited physical discomforts due to temperature, dust, noise, lighting, etc. Possible exposure to communicable diseases, hazardous materials, and pharmacological agents with little likelihood of harm if established health precautions are followed. Work requires ability to stand, stoop, bend walk and sit. The position requires keyboard activity, pulling and filing. Requires ability to assist patients for transportation. Overtime and the use of staff sharing at other work locations may be required.
Essential Job Functions:
Administrative Functions: Communicates with endoscopy departments to schedule patients procedures. Interacts with patients to ensure they have their pre procedure instructions, obtain prior authorizations, and work with clinical team to ensure necessary testing is ordered and completed. Reviews daily appointment schedule with provider and develops a plan for patient care activities. Obtains Pre-Op paperwork, labs, referral consultation notes, and hospitalization and ED records prior to appointment as needed. Forwards clinical information to specialist at least 24hrs prior to scheduled appointment or procedure. Processes lab letters, referrals and forms, and obtains prior authorizations for medications, referrals and tests per insurance requirements. Tracks labs and referrals, scans and indexes appropriate documents, documents all communication with patient per EPIC standards. Collaborates with team to accommodate same day requests, checks and responds to emails and pools daily. Ensures work area is stocked with current forms for daily work and computer downtime. Demonstrates proficiency in the use of required computer systems.
Professional and Organizational Development: Constructively participates in departmental and committee meetings and shares ideas and best practices for improving operational and clinical workflow. Completes all required training prior to the due date and attends at least one professional development activity each year. Participates in employee engagement activities and patient satisfaction improvement efforts.
Clinical Functions: Prepares patients for provider visit. Ensures exam rooms are neat, clean and stocked. Observes, records and reports patient responses to medical care provided during appointment. Prepares, administers and documents as ordered by provider and/or standing order policy. Assists provider with office procedures and collection of specimens. Processes prescriptions per provider instruction and policy. Adheres to infection control and hand hygiene guidelines during all patient care activities. Recognizes and adheres to National Patient Safety Goals and AMG safety policies. Reports safety concerns promptly via Clearsight system. Performs Environment of Care laboratory quality control per policies. Contributes to team and practice site operations by covering co-workers and providers during training, meetings, and lunch and/or as needed.
Communication: Excellent interpersonal and verbal communication skills; appropriate telephone etiquette, knowledge of how to assist patients in a timely manner with concerns and/or complaints. Telephones patients as per the physician’s instructions. Communicates with insurance carriers to obtain authorizations for procedures and pharmaceuticals. Follows up on referrals. Handles patient’s requests for medical information, copies of medical records, refills, and test results, etc. as instructed by the physician. Obtains patient release forms in accordance with patient confidentiality and medical record release policies.
Education: A high school degree or GED equivalent is required. BLS certification required upon hire.
Knowledge: Familiarity with computer-based patient appointment scheduling, registration systems and electronic medical record. Medical terminology required. Ability to confirm current medications.
Skills: Effective interpersonal skills and demonstrated written and verbal communication skills. Effective time management and organizational skills. Effective clinical skills appropriate for the ambulatory care setting. Must demonstrate competency to include but not limited to: blood pressure measurement, anthropometric data, EKG’s and blood draws.
Required Licensure, Certification, etc.: Valid BLS (re)certification required upon hiring.
Machines, Tools, Equipment: Ability to operate office equipment such as computer, phones, fax, copier, scanner, etc. Ability to operate medical equipment per departmental guidelines.
