Job Requirements
- Provides direct support to the Director of Operations and the executive leadership team for day-to-day operations within the company.
- Lead the end-to-end proposal development process for RFPs, RFQs, RFIs, and task orders.
- Coordinate input from business development, capture managers, subject matter experts (SMEs), pricing, contracts, and operations teams.
- Ensure proposals are fully compliant with solicitation requirements (FAR, DFARS, HHSAR, etc. when applicable).
- Review and edit technical, management, and past performance volumes for clarity, consistency, and win themes.
- Draft and refine executive summaries, resumes, project descriptions, and other boilerplate sections. Integrate graphics, charts, and visuals to improve readability and impact.
- Maintain a proposal content library and past performance database.
- Manages the contract/project lifecycle from inception to completion, accountable for project results.
- Coordinates and controls day-to-day project operations and performance to resolve issues and identify risks.
- Effectively communicates with and requests information from external sources including, but not limited to, staffing firms, professional service providers, prime contractors, subcontractors, employees, and clients across federal, tribal, state, and local government sectors.
- Manages, approves, and reconciles timecards and invoices to ensure accurate and compliant submission. Works with other departments to provide information in support of the revenue cycle.
- Works directly with candidates, employees and clients to successfully recruit, credential, and onboard staff across diverse service areas to meet project and contract requirements.
- Tracks and reports on key performance indicators KPI’s.
- Supports the leadership team with other reporting requirements as requested.
- Ensure all project documentation is timely, accurate and maintained per project requirements.
- Maintains a database regarding clients and potential clients.
Must Haves:
- Four-year degree (or equivalent experience may be considered) in Communications, Marketing, English, Business, OR relevant project management experience.
- Direct experience in federal contract operations specific to professional services staffing and support, with preference for experience in sectors such as healthcare, IT, facilities, logistics, or related service lines.
- Strong writing and editorial skills.
- Demonstrated track record of success working in a high-volume deadline-driven environment.
- Ability to think strategically and be detail oriented as it relates to technical approaches and solutions.
- Intermediate to Advanced proficiency in the use of Microsoft Office including Word, Excel, and PowerPoint to create, edit and produce documents and supporting materials.
- Experience using workflow platforms such as SharePoint a plus.
- Experience using a customer relationship management (CRM) platform (GovWin, Bid speed) highly preferred.
- Experience working with, and understanding, confidential company information as it relates to financial stability, industry credibility, and proprietary information.
