Job Overview​

We are currently seeking a proactive and detail - oriented Administrative Intern to join our team. This internship offers a valuable opportunity to gain practical experience in administrative work, with a primary focus on supporting the company's contract management process. The ideal candidate will be responsible for organizing, scanning, and filing existing company contracts, as well as coordinating matters related to contract stamping. This role requires strong communication skills, a meticulous work attitude, and basic proficiency in Office software, along with the ability to read English emails and communicate fluently in spoken English.​

  • Sort and organize the company's existing contracts in a systematic manner, ensuring that all documents are properly categorized and easy to retrieve.​
  • Scan physical contracts into digital format with high quality, and accurately name and save the digital files according to the company's document management standards.​
  • File both physical and digital contracts in the designated storage locations, maintaining the integrity and security of contract documents.​
  • Communicate and coordinate with relevant internal departments (such as the Legal Department, Finance Department) and external parties (if necessary) to arrange the contract stamping process.​
  • Track the progress of contract stamping, promptly follow up on any delays or issues, and ensure that contracts are stamped and returned in a timely manner.​
  • Record and update the stamping status of each contract in the company's document management system.​
  • Provide support for other daily administrative tasks as assigned by the supervisor, such as answering phone calls, receiving visitors, and distributing office supplies.​
  • Assist in organizing and maintaining office files and records, ensuring their accuracy and completeness.​
  • Collaborate with team members to complete other administrative projects and tasks as required.​

Job Requirements​

1. Communication Skills​

  • Possess excellent verbal and written communication skills. Be able to communicate effectively with internal departments, and clearly express ideas and opinions.​
  • Have good listening skills, be able to understand the needs and requirements of others, and provide appropriate responses and solutions.​

2. Work Attitude​

  • Be serious, careful, and responsible in work. Have a strong sense of responsibility for the tasks assigned, and ensure that the work is completed accurately and on time.​
  • Be proactive and proactive in work. Be able to take the initiative to find and solve problems, and not be afraid of difficulties and challenges.​
  • Have good teamwork spirit. Be able to cooperate closely with team members, support each other, and jointly complete the team's work tasks.​

3. Software Skills​

  • Have basic proficiency in Microsoft Office software, including Word, Excel, and PowerPoint. Be able to use Word to edit and format documents, use Excel to make simple data statistics and analysis, and use PowerPoint to create simple presentation slides.​
  • Be familiar with the basic operation of scanning equipment and document management software. Having experience in using document management systems is a plus.​

4. English Skills​

  • Be able to read and understand English emails proficiently. Be able to accurately grasp the key information in English emails and respond appropriately.​
  • Having obtained English language certificates (such as CET - 6, TOEFL, IELTS) is a plus.​

Internship Information

Duration: Minimum 6 months (full-time preferred).
