Reporting directly to the Senior Director of Planning & Administration, this role partners closely with her and the Department Coordinator to ensure seamless coordination, prioritization, and alignment of scheduling across the CEO’s office. Success in this role requires exceptional judgment, discretion, and critical thinking, along with the ability to communicate professionally across all levels of the organization.
Key Responsibilities
- Manage the CEO’s dynamic calendar, including scheduling meetings, events, and travel.
- Provide day-to-day calendar and travel support to the CEO’s Strategic Planning Head.
- Coordinate and maintain multiple board and committee calendars.
- Oversee the Strategic Planning calendar and ensure alignment with key business activities.
- Plan and book complex domestic and international travel arrangements, often subject to frequent changes.
- Provide detailed travel documentation and information to the expense reporting team.
- Respond to ad hoc requests and manage logistics for meetings, town halls, and offsite events.
- Partner closely with the Senior Director of Planning & Administration and the Department Coordinator to prioritize calendar entries and optimize scheduling across the CEO’s office.
- Exercise sound judgment and critical thinking in managing competing priorities and time-sensitive requests.
- Communicate professionally and effectively with internal and external stakeholders at all levels.
Required Qualifications
- Proven experience supporting senior executives in a fast-paced, high-stakes environment.
- Exceptional time management skills, with the ability to manage personal workload while optimizing executive schedules.
- Demonstrated ability to exercise the highest level of discretion and confidentiality.
- Strong critical thinking and problem-solving abilities, especially in dynamic and fluid situations.
- Ability to anticipate needs and use independent judgement given limited availability of executive.
- Excellent verbal and written communication skills.
- Highly organized and detail-oriented, with the ability to manage multiple priorities simultaneously.
- Proficiency w/ computer programs (MSWord, Excel, PowerPoint, Teams, Access) and administrative programs (Outlook, Ariba Buyer, XMS, Concur, etc.)
- Experience coordinating complex domestic and international travel arrangements.
- Ability to build strong working relationships across all levels of the organization.

Base Pay Salary
The estimated base salary for this role is $84,000-90,000 per year. We have a pay-for-performance compensation philosophy. Your initial total compensation may vary based on job-related knowledge, skills, experience, and geographical work location. In addition, most of our roles are eligible for variable pay in the form of bonus, commissions, and/or long-term incentives depending on the role.
