About The Role
As a Legal Secretary, you will undertake a varied array of responsibilities, supporting partners and associates while upholding the firm’s exemplary standards. Your daily tasks will include managing schedules, appointments, and travel arrangements for fee earners, overseeing service provision, and ensuring compliance with internal policies and risk management procedures.
You will coordinate communications, assist with client onboarding, and handle document production and edits for bids, proposals, and client materials—always mindful of cross-border requirements. Keeping databases and CVs up to date, utilising the firm’s CRM system to manage client information, and collaborating with the Business Development team to support client events will also feature in your remit.
Your role extends to project management duties such as opening client files, carrying out local compliance checks, and maintaining legal documentation in line with Chinese regulations. You will be responsible for billing, expense administration, and the regular archiving of documents. Additionally, you will contribute proactively to business development efforts in the Beijing market and offer occasional support to other office functions, including Reception.
What we are looking for
We are seeking an experienced Legal Secretary with a background in professional services or the legal sector; experience working for an international law firm in Beijing is especially valued. Candidates should possess relevant educational qualifications, and those holding professional secretarial certifications will be given preference.
You’ll excel both as a collaborative team player and as an independent contributor in a fast-moving environment. Demonstrating composure and resilience under pressure, you communicate fluently in both English and Mandarin Chinese, bringing outstanding interpersonal and organisational skills to the role. Critical thinking, effective time management, and a commitment to confidentiality and professionalism are essential.
