Job Summary:

The Purchasing Manager oversees procurement for the Lodging units and all F&B operations, ensuring efficiency, quality, and safety while managing staff, inventory, and budgets to meet demand and regulatory standards. Key duties include collaboration with departments to compile purchasing needs for product, timely ordering, delivery and properly receiving/storage of products, developing product transfers, coordinate and delegate the distribution of products, training and supervising staff, maintaining equipment, managing inventory every day, week and month for all units, and implementing safety protocols like HACCP.

Job Description:

Essential Functions

  • Compile all needs for food, beverages, paper and cleaning supplies as needed for all operations. Prepare and process requisitions and purchase orders for supplies and equipment.
  • Plan, assess and anticipate the needs for the departments based on historical calculations, based on seasons of the year.
  • Maintain records of goods ordered and received.
  • Adhere to all company procurement policies and procedures.
  • As directed by the F&B Manager or GM, Prepare or approve specifications for all purchases, vendor selection, and analysis of quotation for all major purchases. 
  • Implement and monitor food safety and quality standards, including health and safety protocols like HACCP, to ensure products meet company and customer specifications.
  • Review recommendations to assure the bid accepted is one that meets the specifications, terms and conditions of the request for quotation, and that the best value as to quantity and quality are obtained for funds expended.
  • Locate vendors of materials, equipment or supplies, and interview them to determine product availability.
  • Review vendors and product selection for conformance to company policy.
  • Monitor inventory levels, manage the ordering and delivery of raw materials, and control costs associated with food and supplies.
  • Manage the department budget, track production costs, and report on financial performance.
  • Analyze market and delivery systems to assess present and future material availability.
  • Will need drive Company Van, Box Truck or Gator to pick up products from vendors, make deliveries to remote operation, or disperse products to various outlet locations.

Skill And Knowledge Requirements Include

  • Work requires general knowledge of accounting or business principles and practices generally obtained through completion of a Bachelor's degree program in a business-related field.
  • 3-5 years related experience and/or formal training. Competence in applying general accounting principles, coordination of major administrative functions, and processing complex accounting procedures. 
  • Demonstrated talent for interacting with a wide variety of people. 
  • Ability to maintain confidentiality.
  • Must be extremely assertive, organized, detail-oriented and coordinate multiple priorities. 
  • Strong analytical ability.
  • Leadership & Management: Strong skills in leading, motivating, and developing teams.
  • Food Safety Knowledge: In-depth understanding of food safety regulations and quality management systems (e.g., HACCP, ServSafe).
  • Operational Expertise: Proficiency in production planning, inventory management, and process optimization.
  • Financial Acumen: Ability to understand budgets, control costs, and analyze financial data.
  • Communication: Excellent verbal and written communication skills to interact with staff, management, and other departments.
  • Problem-Solving: Ability to identify issues and implement corrective actions efficiently.
  • Must have a valid Driver’s License.

Physical And Mental Requirements

  • Ability to sit at a desk in front of a computer for long periods up to several hours at a time.
  • Reading and writing work-related documents in English.
  • Speech recognition and clarity, including the ability to understand the speech of customers and co-workers and the ability to speak clearly so that you can be understood by vendor representatives, customers and co-workers in English.
  • Strong knowledge of Food and Beverage terminology in the hospitality industry.
  • Demonstrates professionalism when interacting with a wide variety of people.
  • Moving about on foot to accomplish tasks, particularly frequent movements from place to place between the unit.  Bend, lift, carry, reach/extend arms and hands above shoulder height frequently, or otherwise move in a constantly changing environment.
  • Lifting, carrying, and pushing up to 25 lbs. regularly, 30-35 lbs. frequently, and up to 50 lbs. occasionally.
  • Ability to stand for long periods throughout a workday and to climb steps regularly.
  • Withstanding temperature extremes in freezer, refrigerator walk-ins, outdoor high, low temperature & high humidity levels and extreme hot kitchen areas.
  • Must have able to work within a team setting and in coordination with all other department leaders.

Equipment Used

  • Typical office equipment (computers, phone system, fax, copiers, scanners, among others).
  • Computer knowledge (Microsoft Office: Word, Excel, Outlook). 
  • Proper use of Hand Trucks, Carts, Pallet Jack and other warehouse equipment.
