Administrative Assistant to the Dean(s) of the College of Health Science and College of Rehabilitation Sciences (On Campus Preferred, Hybrid Optional)

Position Supervised by: Dean(s) of the College of Health Science and College of Rehabilitation Sciences
Position Purpose
The Administrative Assistant is a shared position that is responsible for providing administrative support to the Dean of the College of Health Science and the Dean of the Colleges of Rehabilitation Sciences. Self-management and prioritized decision-making are required to plan, prioritize, and organize a diversified workload. This person must maintain a professional and productive demeanor and work well within a collaborative team. The ability to utilize modern office technology and software, and a desire and willingness to further enhance skills, are important for long-term success in this position.
Essential Functions And Responsibilities
- Complete various administrative tasks for the respective areas, including managing active calendars and scheduling appointments; screening emails and phone calls; composing and preparing confidential correspondence; and compiling documents for meetings.
- Assist in the collection and maintenance of data and documentation as appropriate and required for the college.
- Compile reports for college-related items.
- Work closely and effectively with supervisors to keep them well-informed of upcoming commitments and responsibilities, facilitating the appropriate course of action, referral, or response.
- Attend and record minutes of academic and other professional meetings.
- Prepare expenditures and complete related budgetary processes.
- Maintain records related to administrative, financial, and human resources.
- Perform general office duties such as filing, copying, scanning, communication, etc.
- Assist with University assessment needs.
- Serve on College and University Committees as appropriate.
- Assist with academic program on-site sessions and other university functions as needed.
Other
- Perform other duties as assigned for the purpose of ensuring the efficient and effective functioning of the College.
- Attend and support University Commencement.

Working Requirements/Conditions
Education/Certification:
Bachelor’s degree from an accredited institution preferred, but not required.
Required Knowledge:
Understanding of and adherence to FERPA regulations.
Experience Required:
Administrative assistant experience is preferred.
Skills/Abilities:
Strong grammar and editing skills.
Excellent interpersonal communication skills.
Highly skilled with the Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Publisher, Survey Software) and Internet searching. Experience Using AI preferred.
Technically savvy – learns and is unafraid of new technology.
Responsible, timely, detail-oriented, and organized.
Takes initiative and can work well with limited supervision.
Minimum typing speed of 50 wpm.
Enjoys creating and improving processes.
Excellent Problem-Solving Skills.
