Position Summary:
Reporting to the Chief Advancement Officer (CAO), the Assistant Director, Development and Campaign Operations supports major gift and campaign fundraising efforts through strategic project coordination, committee administration, and cross-departmental communication sharing. This individual will play a key role in organizing donor and committee meetings, preparing meeting materials and follow-ups, and ensuring seamless collaboration between Development leadership and departments across the organization, including Club-level staff. The role ensures that fundraising strategies and donor engagement efforts are fully informed by and aligned with BGCB’s impact on the ground.
Essential Duties And Responsibilities:
Donor Prospect Meeting Coordination
- Schedule and manage donor meetings for the CAO and Development leadership; prepare and distribute briefing materials in a timely manner.
- Coordinate follow-up actions post-meetings, including thank-you notes, deliverables, and tracking next steps; ensure accurate meeting documentation and updates in Raiser’s Edge.
- Assist the CAO and other campaign leaders in keeping the momentum for arranging donor meetings by making suggestions about possible meetings/engagement opportunities and coordinate with and assist the stewardship team with what is needed for major gift prospects.
- Encourage and remind prospect managers to be proactive in reaching out to donors, sending a confirmation email or note.
- Prepare materials needed for major donor meetings. While the coordinator customizes materials, keep them updated and organized.
- Follow up from major donor meetings, including making sure the donor is thanked appropriately and receives the materials or follow up action promised at the meeting. Ensures that records of the meeting are updated and filed and that follow up actions are noted so they can be acted on in the future.
- Work with Operations team to request prospect identification and research.
Campaign Committee Administration:
- Work with the CAO and campaign leaders to schedule committee meetings and make sure that all of the necessary material are organized and available at the meeting.
- Attend committee meetings to capture detailed notes, especially related to follow-up actions; maintain accountability by following up with committee members on agreed-upon tasks.
- Coordinate other meeting follow up, such as drafting notes for the Chief Advancement Officer and campaign leadership.
Cross-Departmental Leadership
- Coordinate with the other development staff to make sure that all contacts with campaign donors is coordinated so as not to conflict with governance, program, annual dinner committee, the annual fund, or other operating, fundraising, and volunteer efforts.
- Serve as a liaison to PIE, governance, and Club staff, facilitating regular communication to keep the Development team informed of Club-level programming and priorities.
- Translate Club-level impact and programming into compelling stories, data, and updates to support donor engagement and stewardship.
- Lead efforts to streamline information sharing between departments, including shared calendars, reports, and joint planning.
- Champion organizational understanding of philanthropy; contribute to a culture of transparency and collaboration across all levels of BGCB.
Position Requirements (Education, Experience, Knowledge, Skills, Abilities, Work Demands)
- Bachelor’s degree or related experience with a minimum of 2-3 years of governance and stakeholder management experience.
- Demonstrated ability to analyze and synthesize a high volume of information.
- Commitment to BGCB’s mission and strategic direction.
- Must be able to write concise communications with attention to accuracy and detail.
- Ability to work independently with exceptional project management skills.
- Ability to handle sensitive and confidential information.
- Knowledge of Raiser’s Edge or similar CRMs preferred.
- Prior campaign experience preferred.
