About The Role

Responsible for leading and executing CSR initiatives, with a focus on implementing the AIA Scholarships, overseeing the daily operations of the AIA Foundation, and providing administrative support to the department.

Roles And Responsibilities:

Key Responsibilities

Aia Scholarships

  • Serve as the main contact for universities, handling enquiries and coordinating matters related to the Scholarships.
  • Lead and manage the annual process for new and renewal scholarship applications, including selection and fund transfers according to schedule.
  • Oversee scholarship applications and nominations (new and renewal), including data verification, compiling student profiles for committee voting, preparing reports, and issuing confirmation emails to universities.
  • Regularly review and update official scholarship documents (e.g. MoUs with universities, award letters, consent forms), initiate revisions when needed, and obtain necessary approvals.
  • Maintain the scholar database, ensuring proper vetting and record-keeping of consent forms.
  • Manage the scholarship filing system to ensure compliance with governance and corporate requirements.
  • Coordinate with Finance on scholarship fund transfers, secure appropriate approvals, and maintain accurate records.
  • Support scholar engagement activities, including organizing the annual AIA Scholarships Ceremony, coordinating with universities, and providing onsite supervision and support.
  • Perform other scholarship-related duties as assigned.

AIA Foundation and other CSR activities

  • Manage and maintain the AIA Foundation and CSR filing systems to ensure compliance with governance and corporate requirements.
  • Arrange donation and sponsorship payments.
  • Monitor and record all expenses related to the AIA Foundation, AIA Scholarships, and community activities; work closely with the Finance team to ensure accurate accounting records.
  • Consolidate information on CSR programmes and activities for reporting purposes. 

Administrative support to the department

  • Consolidate inputs for departmental submissions, including:
  • Administrative and onsite support at departmental events
  • AOB and CSR data
  • R&C related submissions
  • BIA, BCP and related drills

Minimum Job Requirements:

  • 5 – 6 years’ experience in project coordination
  • University graduate in related disciplines
  • Excellent project management skills
  • Good ability to consider needs of various parties comprehensively
  • Excellent Chinese and English writing and presentation skills
  • Total command of Microsoft Word, PowerPoint and Excel
