Job Summary:

Perform customer relations duties with the public, check patient in, ask for and facilitate the receipt of patient payments, maintain patient files, manage physical therapy licensure credentialing, team scheduling, and training.

Essential Duties and Responsibilities Managerial Front Desk:

Daily Operations

  • Oversee daily operations of your department including delegating authority, staff scheduling, provide leadership and support to staff, plan and hold regular staff meetings, and enforce company policy, as well as ensure department productivity.

Department Effectiveness

  • Develop guidelines for prioritizing work activities, evaluate effectiveness, and modify/improve activities as necessary.

Patient Contact Person

  • Serve as formal contact person for patient complaints and handle those complaints quickly, courteously, and professionally.

Staff Development & Performance

  • Keep yourself and staff up to date with current healthcare trends and practices and evaluate staff performance by monitoring individual work performance and obtain feedback from patients, physicians, and other personnel, in order to accurately evaluate for appropriate recommendations in regard to raises, promotions, assist in recruiting, hiring, orientation, development, and evaluation of department staff, and/or additional responsibilities.

Credentialing

  • Verify Provider qualifications and process provider applications. You will maintain accurate records of education, licensure, and certifications ensuring ongoing compliance with regulations and standards. 
  •  Key duties include coordinating with providers and external agencies, proactively monitoring expiring credentials, and supporting audits to ensure healthcare professionals are qualified and meet regulatory requirements.

Time Cards

  • Review employee time cards for accuracy as well as approve time off requests as applicable.

Essential Duties and Responsibilities of Front Desk:

Opening Procedures

  • Ensure opening procedures are followed daily; including turning on lights and computers, prepare clinic per physician's preference.

Answer Telephone/Greet Patients

  • Answer telephone and greet patients/visitors in a timely manner that is helpful and friendly; determine purpose of visit and direct patients and visitors to appropriate person or department.

Scheduling

  • Correctly schedule patient appointments in the practice management system using current scheduling requirements placed by the physicians.  
  • Carefully screen all patients for complete patient information and correctly enter into the practice management system including correct spelling of name, date of birth, address, telephone numbers, insurance information, body part, referring physician, x-ray location, and identify correct patient type.  

Patient Check In/Out

  • Check patients in and out via EMR and/or practice management system.  
  • Enter data into computer for retrieval and reporting.

Patient Paperwork

  • Assist patients with forms and update patient information correctly into practice management system.  
  • Compile information to be placed in the patient's chart, including: verifying New Patient/Old Patient paperwork is accurate and complete, witnessing consents, explaining and witnessing acknowledgements, taking patient's photo when needed, and verifying History and Physical is complete and signed.

Patient Assist

  • Assist patients as needed with walking, transfers, dressing, and preparing for exam.

Charges

  • Enter and tally correct charges on all encounter forms.

Collections

  • Collect deductibles, co-payments, and charges, and give receipts to the patients.

Closing Procedures

  • Ensure closing procedures are followed daily; including cleaning exam rooms, restocking supplies, closing windows, turning off lights, locking doors, tallying daily receipt logs, and batching credit card machines (if available).

Other Duties

  • Perform other duties as directed/required to ensure efficient operation of the department.

  • Cell phone may be used for business purposes only.  
  • Utilize cell phone for personal, use only during breaks or meal periods and out of the public eye.

Staff Meetings/In-Services

  • Participate in Premier Bone & Joint Centers and departmental in-services and staff meetings.

Safety & Infection Control Policies

  • Adhere to safety and infection control policies.

Care of Environment, Equipment, and Supplies:

Equipment

  • Utilize correct/safe technique when using equipment. 
  • Notify manager of malfunctioning equipment. Perform minor equipment repairs not requiring a service call.

Clean, Neat, Safe Environment

  • Maintain a clean, neat, and safe environment for patients and staff, including personal work areas.

Requirements

Education:

  • High School Diploma or Equivalent - Required

Experience:

  • 1 Previous Experience Working in a Medical Office - Preferred
  • Experience handling credentialing - Preferred

Physical Requirements:

  • Seeing - Must be able to read patient charts and other medical data, as well as visually evaluate the patient’s condition - Constant
  • Hearing - Must be able to hear well enough to communicate with physicians, medical staff, administrative staff, and patients, as well as to receive instruction from physician and/or supervisor - Constant
  • Speaking - Must be able to verbally communicate with physicians, medical staff, administrative staff, and patients, and to give instruction - Constant
  • Grasping - Must be able to write and enter data into patient’s charts. Must be able to apply treatments and/or medication and assist physicians as necessary in clinic procedures. Must be able to maneuver and handle surgical equipment, and perform duties requiring fine motor skills - Constant
  • Standing - Must be able to stand for long periods of time - Constant
  • Bending/Crouching - Frequently
