Role Purpose
To oversee and supervise the fleet management services as well as security administration for the organization and its facilities in order to ensure a safe working environment within all its facilities as well as offer glitch-free mobility services to employees within the set KPIs, agreed budgets and adopted policies and procedures.
Key Accountability Areas
Key Activities
Fleet Supervision and Management
- Supervise all Fleet Services employees; evaluates and disciplines employees
- Maintain a complete inventory system through recording of all expenditures and income of each vehicle, maintenance equipment, fuel, repair parts, supplies, etc.
- Monitor user departments by analysis of vehicle and equipment utilization and evaluation of equipment specifications
Vehicle Maintenance & Repair
- Drive the maintenance and repair of all vehicles and equipment assigned to departments and divisions
- Implement and monitor a preventative maintenance program to assure cost effective maintenance and a scheduled maintenance program to provide maintenance by manufacturers specifications
- Check all repair work performed in shop for completeness including physical inspections and road tests before vehicle is turned back to user departments
Security Supervision and Control
- Develop and implement security policies, protocols and procedures
- Recruit, train and supervise security officers and guards
- Direct team to secure the premises at all times, monitor the surveillance equipment and ensure that the facility is protected and guarded at all hours
- Review policy adherence at all times and ensures that there are no cases of non-conformance / non-adherence
Security Infrastructure & Control
- Guide team in ensuring that all alarms are functioning as per the requirements or not
- Direct security personnel to monitor CCTV footages at all hours and ensure that the same is being recorded
- Address any repair / upgrade issues by guiding team to collaborate with different stakeholders
Reporting And Documentation
- Guide team to prepare reports related to fleet / security expenses and budgets and circulate the same to relevant stakeholders in Finance team
- Review reports on incidence management and share the same with the management to keep them apprised
- Guide team to record observations, interview notes of witnesses, other observations in an off-case of an incident happening at the premises
Process Improvement and Efficiency Management
- Encourage team to come up with ideas / possible ways in improving existing systems and processes
- Analyze past incidents, occurrences and the latest trends in security and fleet management to draft proposals for driving process improvements; calculate the budgeted expenses and seek approval of the manager for the same
Policies, Processes and Procedures
- Support in monitoring day-to-day activities to ensure compliance with stipulated policies and procedures
- Contribute to the identification of opportunities for continuous improvement of systems and processes taking into account leading practices, changes in business environment, cost reduction and productivity improvement
People Management
- Conduct annual performance appraisal of direct subordinates to monitor their work performance and identify their training and developmental requirements
- Actively participate in on-the-job training, mentoring and coaching of subordinates
- Provide clear direction, prioritize tasks, assign and delegate responsibility and monitor the workflow
Knowledge And Experience
- Minimum of 6 years of experience in facility supervision/security administration.
Education And Certifications
- A Bachelor’s degree in Business Administration or related field is required.
- Certification in security management or administration is preferable
