Summary
The Payroll Specialist will be responsible for accurate and efficient processing of Bi-Weekly employee payroll for all employees in various states; review and ensure accuracy of approved timesheets; track and deduct all garnishments and other special payroll deductions; reconcile payroll prior to transmission and validate confirmed reports; manage work flow to ensure all payroll transactions are processed accurately and timely; assist with other Finance Departments responsibilities as needed. This position will be familiar with and play a crucial role in compliance with labor laws and tax regulations. The Payroll Specialist will be familiar with and ensure compliance with all Collective Bargaining Units and other Government Contract pay requirements. Reporting to the Assistant Controller, this position is responsible for preparing and distributing payroll reports to the Finance Department and other HQ departments as needed. The Payroll Specialist must be detail oriented, accurate, and reliable with strong communication skills, and willing to learn new Payroll Systems and Applications. The Payroll Specialist is required to ensure that any payroll process changes with Payroll system are addressed and that all payroll related issues are resolved timely.

Essential Tasks (minimum requirements) to be performed with or without reasonable accommodation
• Processing of current Bi-Weekly Payroll with the potential of weekly and semi-monthly additional pay cycles.
• Communication with Site Captains, Supervisors, and Managers to resolve Payroll & Timekeeping Issues.
• Address Employee questions regarding Pay, Garnishments, benefit deductions and 401(k) deductions, etc.
• Hands-on use of Dayforce Payroll System.
• Processing of Manual Checks when necessary.
• Sort and Distribute Paystubs (FedEx).
• Review Collective Bargaining Agreements (CBA’s) to setup required Payroll & Fringe Benefits in Dayforce.
• Enter and Maintain Wage Garnishments.
• Process terminations.
• Post Payroll related expenses (Journal Entries / General Ledger).
• Process Union dues, H&W, Pension and monthly disbursements.
• Process New Hires and Employee Change of Status (COS) updates.
• Prepare ad-hoc payroll reports as required.
• All other duties assigned.

Education, Experience and Skills
• While in process of obtaining Top Secret clearance, must be able to obtain interim clearance and/or agency approvals. Upon receipt of Top Secret clearance, must be able to maintain active Top Secret clearance and all agency approvals required of their position.
• Ability to effectively learn a company-specific accounting system.
• Costpoint experience is preferred.
• Dayforce experience is preferred.
• Experience with Union Collective Bargaining Agreements (CBAs) Preferred.
• Strong customer service.
• Strong interpersonal communication skills.
• Adherence with Generally Accepted Accounting Principles (GAAP).
• Quick Learner and Adaptable to Different Situations.
• Ability to handle sensitive and confidential information.
• Strong work ethic and a team player.
• A minimum of a Bachelor’s degree in Accounting from an accredited 4-year college/university or equivalent work experience.
• Proficient computer skills including Microsoft Office.
• Advanced working knowledge of Excel.
• Excellent attention to detail.
• Reliable, Accurate, and proficient with data entry.
• Excellent written and verbal communication skills.
• Strong Analytical Skills.

Supervisory Responsibility
This position does not carry any supervisory responsibilities.

Work Authorization/Security Clearance
Employment is contingent upon the successful results of a background check and drug screen. In addition to the completion of a federal background investigation and while in the process of obtaining a Top Secret Clearance, must be able to obtain an interim clearance and/or appropriate agency approvals. Upon receipt of Top Secret clearance, must be able to maintain active Top Secret clearance and all agency approvals required of their position.

Position Type/Expected Hours of Work
This is a full-time position. Days of work are Monday through Friday, schedule to be determined between the core hours of 6:00 a.m. MST and 6:00 p.m. MST. Evening and weekend shifts may be required.

Work Environment & Physical Demands
While performing the duties of this job, the employee regularly works in an office setting. This role routinely uses standard office equipment. The employee is regularly required to use hands and fingers to handle, feel or operate objects, tools or controls, and reach with hands and arms. The employee will frequently be required to have prolonged periods sitting at a desk, working on a computer and using the phone.

Probation
Six-month probation at start of initial employment and/or when position is new for the employee.

Travel
No Travel is required.
