The Senior Payroll Specialist will be responsible for independently managing all aspects of payroll for a dynamic and complex organization with eight distinct pay groups. This role ensures accurate payroll processing, compliance with legislation, and seamless reporting and reconciliation while driving system and process improvements to support organizational efficiency.
Responsibilities:
- Independently manage and process end-to-end bi-weekly payroll for eight distinct pay groups, including unionized, non-union hourly, salary, averaging, rotational and global employees. Managing the intricate differences between each group to ensure accuracy in pay.
- Calculate and process complex payroll components, such as retroactive pay, shift premiums, statutory deductions, and taxable benefits.
- Ensure accurate set-up and maintenance of employee profiles, such as tax elections, benefit deductions, and direct deposit details.
- Process terminations, retirements, leaves of absence, ensuring compliance with final pay and record-of-employment requirements.
- Reconcile benefit premium invoices against payroll records, identifying and resolving discrepancies promptly to maintain accuracy in financial reporting.
- Reconcile Short Term and Long-Term Disability invoices against payroll records, identifying and resolving discrepancies promptly to maintain accuracy in financial reporting.
- Ensure proper allocation and tracking of vacation accruals, statutory holiday pay, and other payroll liabilities for all pay groups.
- Prepare comprehensive payroll reports for internal stakeholders, including senior leadership, HR, and finance teams, tailored to the unique needs of union, non-union, rotational, and averaging pay groups.
- Generate specialized reports, such as payroll variance analyses, labor cost summaries, and overtime tracking, to support budgeting and operational decision-making.
- Manage all aspects of year-end payroll reporting, ensuring compliance with federal and provincial deadlines.
- Reconcile payroll at year-end, including PIER, T4s, and T2200.
- Accurately prepare and distribute tax slips (e.g., T4s, T4As) and submit corresponding summaries to the Canada Revenue Agency (CRA).
- Ensure accurate and timely submission of government remittances for income tax, Employment Insurance (EI), Canada Pension Plan (CPP), and other statutory obligations.
- Act as the main liaison with external auditors, tax authorities, and benefit providers, ensuring all payroll practices withstand rigorous scrutiny.
- Act as the primary payroll administrator of the UKG system, responsible for system configuration, maintenance, data validation, and issue resolution to support the organization’s complex and diverse payroll needs.
- Utilize UKG to support reporting, auditing, compliance, and integration with other internal systems, ensuring optimized use of its functionalities.
- Drive continuous improvement initiatives by evaluating current payroll processes and implementing streamlined workflows tailored to the unique requirements of each pay group.
Your Distinctive Ingredients for Success:
- Diploma or degree in Accounting, Finance, or related field.
- Payroll Compliance Practitioner (PCP) certificate or equivalent certification; Payroll Leadership Professional (PLP) certification is an asset.
- Hands-on experience with UKG (Ultimate Kronos Group) payroll systems is required.
- Minimum 8-10 years in payroll or a similar role.
- Knowledge of payroll processes, legislation, and taxation for all pay groups.
- Possess strong computer skills with a demonstrated proficiency in payroll and accounting-related software programs, and advanced knowledge of Microsoft Excel.
- Superior problem-solving, organizational, and time management skills with excellent attention to detail and desire to question status quo is required.
- Excellent communication and interpersonal skills, with the ability to collaborate in a fast-paced environment.
- High level of confidentiality and impartiality.
